Job Description Summary
Under limited supervision, the Wellness Staff Assistant provides complex administrative and project management support requiring initiative and judgment for the Associate Provost / Chief Wellness Officer, the Executive Director of Public Health and Wellbeing and the Executive Director of Student Health and Counseling. Responsibilities include, but are not limited to, maintaining staff schedules and calendars, arranging and confirming meetings, planning and implementing division-wide programs, event planning, facilitating communication with relevant stakeholders. The Wellness Staff Assistant is considered a part of, and provides back-up support for, the central administrative support team within the Wellness Department.
Job Description
Responsibilities:
- Provide administrative support to the Associate Provost / Chief
Wellness Officer, the Executive Director of Public Health and
Wellbeing and, the Executive Director of Student Health and
Counseling and central office staff within the Wellness department.
Responsibilities include preparing and managing correspondence;
maintaining schedules/calendars; preparing documents such as notes
or reports; responding to inquiries; and serving as a liaison with
internal and external resource offices and contacts.
- Organize meetings, conferences, and other internal/external
events; Maintaining minutes and other documentation as
appropriate;
- Assist with the coordination and planning of wellness
initiative events and programs, and in collaboration with our
Communications Director, design/distribute promotional materials
and communications regarding such programs on relevant listservs,
social media, etc.
- Provide backup administrative support to other adminstrators in
Wellness, as necessary. Includes occasional front desk coverage
responsibilities such as answering the main office phone line and
receiving visitors to the office, as well as participation in the
planning and execution of divisional service recognition, holiday
party, annual staff barbecue, and professional development
day.
- Other duties and responsibilities as assigned.
Qualifications:
A Bachelor's Degree and 3-5 years of experience or equivalent combination of education and experience is required. Excellent communication, technological, organizational, project management, and interpersonal skills required. Ability to work effectively with diverse constituents and to function productively as a team member within a busy setting required. Self-motivation and ability to prioritize under limited supervision required. Previous experience maintaining calendar(s) for executive level staff strongly preferred. Prior experience in University and/or wellness services related setting a plus.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
