Work Schedule

This is a regular, full-time, hourly position. Willingness to work a flexible schedule as necessary in order to respond to emergency/urgent situations is required. This may include working extended hours, evenings, weekends and some holidays.


Typical Activities

Under the general supervision of the Associated Students Inc. (ASI) Executive Director, the Associate Director is responsible for assisting the Executive Director with the strategic planning, operations, and administration of the ASI, and serves as second administrator in-charge of the ASI. Strategic planning to include, but not limited to, corporate administrative, technology, and assessment initiatives that include long-range technology projections, contract and document management, data analysis, student success examination, and recommendations, unit staffing and employee training. The position is also responsible for ASI's special projects, the development, implementation, training, and maintenance of the ASI's emergency response plan and organizational safety programs.

Primary Functions:
  • Coordinates core training meetings among various ASI departments.
  • Provides management direction and support for the on-going operations of these units. While guiding the supervision, direction, training, and evaluation of student assistant employees; regulating corporate travel for the Board of Directors, group conferencing, and site visits.
  • Serves as the Executive Director in their absence. Represents the Executive Director and the Corporation at various University, CSU system, professional association, and community meetings and events.
  • Assists the Executive Director in developing and recommending policies, strategic initiatives, and operating plans to the ASI Board of Directors. Assists the Executive Director in consulting with student leaders, University administrators, faculty, staff, alumni, professional colleagues, and community representatives regarding the development and evaluation of goals, facilities, operations and services of the ASI.
  • Leads or oversees various ASI initiatives including special projects, work teams, and short- and long-term projects including training and documentation.
  • Works with campus stakeholders on legislative projects such as CHESS, Hill Day, Voter Engagement, as well as other ASI related events to ensure success.
  • Manages the Government and Legislative Affairs portfolio.
  • Assists in the maintenance and communication of standards for policy and procedure writing and manual development through direct consultation with legal counsel and under the supervision of the Executive Director.
  • Serves as a consultant to student leaders on meeting procedures and governance. Conducts summer training programs on these procedures to ASI Board of Directors.
  • Serves as speech writer (when needed) as well as program development in the area of communications
  • Conducts research, prepares statistical reports, writes and proofreads research and other documents prepared by staff to ensure accuracy and compliance with policies and regulations; carries out assessments and provides advice as to the appropriate action to be taken; develops management position reports; compiles data for various purposes such as legal requirements; and handles duties that are complex in depth and breath.
  • Develops, writes, edits and maintains Associated Students Inc. policy and procedures to help ensure accuracy, consistency, and clarity.
  • Conducts research to identify sources cited in policies and procedures relating to the California State University System and State and Federal Legislation.
  • Assists ASI personnel in identifying conflicting policies and procedures and revise accordingly.
  • Responsible for the review of policies process and procedure documentation for standard operating procedures, By-Laws, and reference materials that are compliant with California State University policies.
  • Consults and collaborates with General Counsel and others to develop policy, process, and procedure training materials and sessions.
  • Responsible for translating complicated information into clear, comprehensive language appropriate for any audience, and ensures that all internal and external materials and communique are of high quality and consistent with organizational standards and requirements.
  • Leads assessment efforts from consulting, planning and design, to analysis, reporting, improvement strategies and web design; evaluates and recommends student success programs; leads technology efficiency plans and technological advancement strategies.
  • Creates and presents weekly, quarterly, and yearly reports on work completed.
  • Manages website development for ASI to ensure compliance with ADA rules.
  • Organizes and holds weekly, monthly, and quarterly policy forums with the ASI Executive Officers, Board Members, Staff, and anyone in the organization who might have questions or concerns about existing policy or items.



Minimum Qualifications
  • Bachelor's degree, or equivalent experience, in Business Administration, Political Science, or a related field emphasizing written and oral communication, and two years of experience working in procedural or management analysis preferred.
  • Excellent written communication and writing skills to compose a variety of documents (correspondence, narrative/statistical/ analytical reports, policies, procedures, project and grant proposals) that are logical, concise, and grammatically correct.
  • Knowledge of the principles and practices of student governments emphasizing effective organization, administration, management and communication.
  • Comprehensive knowledge of the higher education and university system, or a self-supporting public service not-for- profit organization.
  • Comprehensive knowledge of the California State University System and California State University San Bernardino policies and procedures
  • General knowledge of Federal and State laws as it relates to academic operations (highly preferred)
  • Organizational and analytical skills to manage multiple projects and perform efficiently and courteously in a fast- paced environment with a fluctuating workload, conflicting and competing priorities, and frequent distractions and interruptions.
  • Ability to set priorities, meet deadlines, and follow through on multiple tasks and projects with attention to detail and in a timely manner.
  • Excellent interpersonal skills and demonstrated ability to initiate and maintain cooperative, effective working relationships with academic and staff employees and the public.
  • Ability to interact with others in a direct, cooperative, and tactful manner and with a professional demeanor.
  • Working knowledge of standard computer office applications such as Microsoft Outlook, Word, Excel, PowerPoint or other productivity software.
