Title: Assistant to the Vice President for Communications and Office Coordinator

Position Purpose:

The Assistant to the Vice President for Communications and Marketing and Office Coordinator serves as office manager, provides direct administrative support for the VPOC, serves as office coordinator, and supports the work of BCOM in specifically assigned ways.

Job Duties:
  • Provide multifaceted general office support, including handling inquiries via email and telephone, keyboarding and transcribing, maintaining office supplies, mail distribution, and filing; managing accounts payable and budget monitoring; supporting BCOM recordkeeping and maintaining the security and confidentiality of personnel and student information files; providing BCOM project management support.
  • Provide administrative support and assistance to the VPOCM by managing the VPOCM's calendar using Google Calendar; screening and directing phone traffic; Booking the VPOCM’s college- related travel; keeping track of and maintaining the standing of VPOCM’s professional memberships; and other duties as assigned.
  • Monitoring BCOM email accounts and assisting media relations with hometown student news distribution through Merit.
  • Support the editorial team through research.
Minimum Qualifications:

Education
  • Associate’s degree
  • Bachelor’s degree preferable.
Experience
  • 3–5 years of experience in a deadline-driven office setting.
  • Experience answering and returning phone calls and emails in a customer service capacity.
  • Experience tracking and managing a budget.
  • Experience with Wordpress is a plus but not a requirement.
Skills and Knowledge
  • Excellent command of English grammar, spelling and composition, and strong proofreading skills.
  • Excellent oral and written communication skills.
  • Strong interpersonal skills with ability to develop and maintain collegial relationships. Must be flexible, collaborative and have a positive attitude.
  • Ability to work independently and juggle multiple priorities.
  • Willingness and ability to learn additional applications as needed.
