Assistant Director of Athletics, PE, and Recreation- Facilities & Operations

General Summary: Responsible for the supervision, stewardship, and development of facilities and operations within athletics, PE, and recreation options. The Assistant Director provides leadership in the areas of facilities operations, athletics and sport game management, event management, Aquatics, and facilities scheduling and partnerships with internal and external partners. This also includes planned and emergency maintenance and improvements as well as master calendaring and event coordination related to space assignment. Reports to the Director of APER and works with faculty, staff, students, student athletes, the campus community, other institutions and off campus constituents.

Essential Job Functions:

  1. Facilities & Operations
    • Provides leadership for multi-use sport and recreation facilities, student and outside events, capital projects facility operations, space planning, and special initiatives including an overall strategic vision for facilities usage, scheduling, maintenance, and growth.
    • Provides overall administration to the areas of Aquatics, Event Management, and Facility Operations to include organizational structure, budgets, staffing, resource allocation, special projects, policies and procedures, and strategic planning
    • Manages the maintenance, operations, and space planning of the following: Woodruff Physical Activities Building, Byers Tennis Facility, Gellerstedt Track and Field, and several auxiliary spaces across and near to campus
    • Services as the point person for community partnerships utilizing all APER managed or leased spaces and other campus spaces as relevant.
    • Collaborates with the Director and coaches, cultivate and manage summer camp opportunities for ASC run campus and those lead by community partners.
    • Partners with the Contracts & Budget Manager, manage all aspects of facilities contracts, billing and accounting.
    • Coordinates with the director and college communications and marketing and other athletics staff to develop, direct, and manage ongoing, comprehensive marketing and branding campaign related to campus facilities.
    • Leads the scheduling, maintenance, and scheduled repair of vehicles managed by the APER department in collaboration with the appropriate motor pool services.
  2. Game and Sports Management
    • Oversees all aspects of game management for DIII Athletics events including facilities set up, stats, and other associate needs.
    • Supervises students and other employees to support game administration and compliance needs related to DIII athletics, club, and intramural sports as appropriate.
    • Partners with Campus Recreation staff to ensure supplies, facilities, and transportation needs are addressed
    • Maintains partnership with any on campus providers of fitness, sports, and recreation service in partnership with the relevant program, coach, and/or initiative.
  3. Administration
    • Participates in admissions and other relevant areas on campus-wide programs, including orientation and welcome week events, and similar activities.
    • Supervises and mentors' staff as assigned by the director including recruitment, hiring, onboarding, goal setting, and evaluation.
    • Partners in the evaluation and improvements facilities and operations for students in support of student athletes and sport-based programs
    • Develops, implements, and monitors fiscal planning of the assigned budget areas
    • Oversees compliance and insurance policies for safety, security and student success and partners on department policies and procedures including facilities and risk management.
    • Collaborates with other departments/offices within the division, and consults as necessary with other key campus stakeholders such as academic affairs, business and finance and enrollment management.
    • Provides ongoing professional development opportunities for staff.
    • Serves on college, conference, and national committees as appropriate and necessary.


REQUIREMENTS

Education : Undergraduate degree required; Masters Degree preferred in related field of study.

Experience : Minimum of 5 to 7 years supervisory and administrative experience.

Knowledge/Skills/Abilities:
  • Considerable knowledge of NCAA Division Ill athletics, athletic training, coaching methods, NCAA rules and regulations.
  • Familiarity with Agnes Scott College policies and procedures.
  • Proficiency in budgeting, fundraising, facilities planning, and scheduling.
  • Mastery of managing a diverse group of staff and multiple activities and programs.
  • Good communication skills, both verbal and written.
  • Demonstrated ability to work independently and to maintain confidentiality
  • Demonstrated knowledge of and experience in program management including budget and facilities oversight, scheduling, marketing and social media.
  • Commitment to the principles of Division Ill athletics, the NCAA, and the all relevant conferences.
  • Experience and ability to oversee sports programs and personnel, sports information, sports medicine, NCAA Compliance, academic initiatives, physical education, campus recreation, facility rentals, sports camps and community programs.
  • Excellent computer skills: Word, PowerPoint and Excel; and electronic mail and database management.
  • Other duties as assigned
Other:
  • Irregular hours, outside work, and travel from office to other locations are required on a regular basis.
  • Coaches must comply with all NCAA rules and regulations, and have a duty to cooperate with and furnish the NCAA and the College with truthful and accurate information regarding rules violations. Athletic employees may be suspended or terminated if found to be in deliberate or serious violation of NCAA regulations.
PHYSICAL DEMANDS

Intermittent sitting, standing, stooping, crouching, walking, and occasional moving of light objects. Work is performed in an office.
