Job Description

The Newhouse School seeks a talented administrative assistant to support the various research and scholarly activities of the School’s Endowed Chairs.

Qualifications
  • Bachelor’s degree required. 3-5 years experience in support of executive level directors or deans, preferably in an educational environment.
Job Specific Qualifications
  • High level administrative assistance skills in a professional environment, preferably with experience interacting in the arena of scholarly research.
Responsibilities

Administrative Assistance for the Endowed Chairs Suite
  • Provide administrative assistance to the chairs in the school’s Endowed Chairs Suite, including support for several Newhouse signature projects they oversee. Requires independent judgment, an ability to multi-task, an ability to organize events, a reliable attention to detail, strong oral and written communication skills, professionalism, level headedness, and, as the ambassador of the suite, an ability to connect effectively with a wide variety of people.
  • Serve as primary gatekeeper, managing calendar, meeting, speaking, committee and event requests, etc.
Research & Creative Projects
  • Administrative support for research and creative projects, including basic research, grant submissions and reports.
  • Coordinate occasional hiring efforts and help oversee research assistants
Event Planning & Execution
  • Plan and manage events and activities sponsored by the endowed chairs.
Travel & Finance Processes
  • Help plan travel for the endowed chairs, as well as for guests, speakers, etc.
  • Assist with expense and travel forms, including purchases, reimbursements, etc.
Office Administration
  • Support the daily operations of the Endowed Chairs Suite as the primary staff presence in the office, including greeting students and guest speakers to make it a welcoming and affirming space.
  • Handle receptionist duties, including answering phone calls, responding to walk-ins, managing calendars, and engaging in correspondence.
