Position Purpose
With guidance from leadership of the Quantitative Biomedical Sciences program, the Program Coordinator manages day-to-day operations of the QBS program and coordinates and delivers program and events according to the QBS mission, strategy, and institutional priorities.
This is a student-facing role and interacts regularly with a wide range of internal and external constituents and staff members. The Program Coordinator is responsible for managing the office and classroom environment, ensuring supplies and equipment are available to faculty and students; planning and managing student onboarding and social events; acting as point of contact for incoming students for arrival logistics and campus resources; monitoring student academic progress; and scheduling classrooms and other facilities for academic activities.

· Proficiency with Microsoft Office products (Word, Excel, PowerPoint, etc.)
· Able to anticipate, deliver on, and exceed the expectations of students, alumni, affiliated faculty, and colleagues across Geisel and Dartmouth
Preferred Qualifications
· Experience with event planning
· Experience with website content management systems and social media
· Ability to understand, facilitate, and implement complex scheduling
· Experience supporting students and faculty in higher education

Description
Program Administration
· Manages daily operations of the Quantitative Biomedical Sciences program office.
· Orders office supplies, furniture, and equipment, and monitors their usage.
· Schedules classrooms and meeting spaces for courses and TA office hours.
· Manages, plans, and coordinates the departmental calendar.
· Plans and manages student events, including accepted students weekend, new student orientation, and program retreat. Organizes logistics for speakers, locates and reserves facility space, arranges for necessary services, and coordinates schedules and itineraries.
· Schedules monthly PhD research presentations and oversees attendance.
· Interacts with and responds to questions from faculty, current students, and prospective students.
· Acts as point of contact for incoming students for arrival logistics and campus resources.
· Responds to inquiries, interprets policies and procedures, and resolves problems as needed.
· Maintains a variety of databases and manages confidential records and information.
· Maintain program website, manages program correspondence, emails, and mailing lists.
· Coordinates with Geisel Facilities on office moves and other facility related issues.
· Interacts regularly with a wide range of internal and external constituents and staff members and conveys information on behalf of the department.
· On-boards and orients new employees and visitors to the office and the community.
· Supports the office’s mission to foster inclusiveness and diversity.

Program Marketing and Recruitment
· Assists with coordination of on-campus recruiting activities for the program.
· Monitors general program email and replies to prospective students.
· Attends virtual information sessions.
· Works with program administrative staff to plan events for admitted students’ visits, including reserving accommodations, managing expenses, and scheduling social activities.

Academic Coordination
· Manages the administrative functions of education programs including compliance with required reporting and tracking of activities and accomplishments.
· Oversees the coordination of graduate level courses including document creation, file retention, organization, and execution.
· Arranges for approved accommodations for special-needs students.
· Orders binding services for theses of students in graduate program.
· Reports degree certifications to appropriate dean’s office.

Description
Financial Administration
· Processes purchase orders and invoices.
· Understands and follows procedures in accordance with Dartmouth tuition collection mechanisms and policies, federal financial aid processes, and revenue collection activities.
· Prepares and processes business expense reports, interdepartmental invoices, and deposits for faculty and staff.
· Hires teaching assistants each term in consultation with QBS administrative staff.
· Onboards new PhD students to ensure prompt payment of stipends.
