The Opportunity:

Provide administrative support to the Chief Flight Instructor during day-to-day operations, maintain flight instructor records, coordinate interviews for flight instructor applicants, coordinate new hire classes, and provide administrative support for Training Managers.

Assist the Chief Flight Instructor in the management and maintenance of the regulatory records required by 14CFR Part 141 for flight schools authorized by the Federal Aviation Administration as related to Flight Instructor Staff. Process and maintain all required documentation for Flight Instructors to include contract tracking. Maintain Flight Instructor qualifications, system accounts, email lists, subscriptions, etc.

Coordinate the hiring process of new instructors. Review applications for prospective new flight instructors. Coordinate with applicants to arrange interview dates that work with their availability. Coordinate with the human resources department to provide travel arrangements for applicants. Schedule interviews for applicants with qualified flight department personnel.

Assist students in scheduling meetings with the Chief Flight Instructor. Direct students and employees to the appropriate point of contact for their needs.

Maintain pilot records, documents, and currencies for each instructor. Ensure these items are current and correct in accordance with FAA regulations. Monitor the validity of documents and currencies and notify instructors when these items are expiring. Support Instructor Pilots in their daily needs.

Register students for new flight courses. Verify flight certificates, medical certificates, and TSA documents are valid during this process. Enroll students for flight blocks, throughout the year, ensuring there are no class conflicts and space available within the requested flight block. enroll students into appropriate ground school courses into ETA. Schedule and course complete ground school units in ETA.

Qualifications

Required Education:
High school (or GED) level ability in spelling, grammar, basic composition, and math.

Required skills, knowledge, abilities:
Analytical skills with an in-depth knowledge of information systems and technical expertise with Microsoft operating systems, Access, Excel, PowerPoint, Word, Outlook/email, and Internet end-user applications.
