Job Summary
The Equity and Inclusion Communications and Events Manager provides support to highlight
and communicate professional development opportunities and programs focused on increasing
diversity, equity, inclusion and belonging originating in the Office of the Provost. Reporting to
the Senior Vice Provost for Equity and Inclusion (E&I), this position is responsible for
coordinating events, communications, and other administrative functions for the Senior Vice
Provost for Equity and Inclusion and the Associate Dean for Undergraduate Equity & Inclusion.

Essential Functions

  • Communications:
    • Oversees and ensures high quality mass communication campaigns to faculty, librarians, postdocs, and administrators for the Associate Provost for Equity and Inclusion and the Associate Dean for Undergraduate Equity and Inclusion.
    • Develops communication plans for advertising multiple workshops and events, including timelines and platforms for communications, target audiences, and monitoring registrations.
    • Masters the email platform for reaching campus audiences. Develops protocols for high quality and effective mass email communications.
    •  Manages the E&I general office email and responds in a timely and effective way to requests.
    •  Manages communications, including email correspondence, for the STRIDE faculty recruitment initiative.
    •  Designs, develops new content, maintains and updates the E&I website.
    •  Ensures that E&I’s online presence is dynamic, engaging, and current. Creates and posts news items related to E&I programming. Maintains calendar of events and workshops, including submissions from other campus offices. Makes available resources from workshops and reports authored by E&I.
    •  Ensures functionality of web-based workshops/events registrations and maintain database of registrations.
    •  Interfaces with University Relations, IT, the UMass News Office, and maintains knowledge of UMass communication and marketing policies, procedures, branding, and resources.
    •  Maintains and extends online resources for the Senior Vice Provost for Equity and Inclusion and the Associate Dean or Undergraduate Equity and Inclusion. Updates websites and events calendars, and develops new communications platforms as needed.
    •  Develops the Academic Affairs E&I brand. Coordinates the design of high-quality and accessible print materials.
    •  Produces high quality graphic publications including brochures, annual reports,
    • workshop manuals, and other print materials
    • Coordinates an integrated brand for Academic Affairs E&I in all materials: letterhead, presentation formats, signage and email.
  • Events:
    • Plans and manages all logistical aspects of workshops and events. Supervises student assistant and coordinates events coverage. Secures venues; ensures appropriate setup and breakdown, IT needs, and accessibility needs. Troubleshoots and resolves venue problems. Manages contractors/vendors, including catering, furnishings, and venue access. Maintains database of venues, including size, cost, and contact persons. Provides workshop materials and workshop evaluations, both print and electronic. 
    •  Manages registration processes and monitors registrant activity. Maintains registrant database. Develops outreach plan to increase event attendance. Generates summaries of participants for annual reports and periodic reports.
    • Administers and oversees workshop participant evaluations. Maintains database of evaluation feedback. Debriefs with workshop leaders to improve subsequent events.
    •  Provides summaries of participant evaluations to workshop leaders, the Director of the Office of Faculty Development, as well as the Senior Vice Provost for Equity and Inclusion, and the Associate Dean for Undergraduate Equity and Inclusion.
    •  Assists the Associate Dean for Undergraduate Equity and Inclusion in planning, organization, and logistics for student-facing events in support of recruitment, retention, and academic success of students from historically marginalized populations.
    •  Provides task and timeline scheduling support to Academic Affairs Equity and Inclusion Initiatives. 
  •  Administrative Support:
    •  Performs general office support as needed.
    •  Provides calendaring support for the Senior Vice Provost for Equity and Inclusion and Associate Dean for Undergraduate Equity and Inclusion.
    •  Uses a variety of software to generate materials, memos, and reports.

Other Functions

  •  Performs related duties as assigned or required to meet Department, Executive Area/Division, and University goals and objectives.

 

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience,
Certifications, Licensure)

  •  Bachelor’s degree and three (3) years of related work experience.
  • Experience with website content management software.
  •  Excellent written and oral communication skills.
  •  Ability to produce high quality graphics (Adobe Suite, Illustrator or InDesign).
  •  Demonstrated ability to work independently to organize multiple tasks and set priorities for action. Ability to operate with self-direction in a fast-paced office environment. 
  • Excellent interpersonal skills and ability to interact effectively and work productively in establishing and maintaining professional and harmonious working relationships with diverse faculty and staff.

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience,
Certifications, Licensure)

  •  Experience supervising staff or students.
  •  Experience with Drupal.

Physical Demands/Working Conditions

  • Typical office environment.

 
Work Schedule

  • Monday - Friday, 8:30 am - 5:00 pm.
  •  Occasional early morning or evening hours required for special events (e.g., STRIDE Workshops, New Faculty Orientation).
