Hiram College invites applicants for the position of Coordinator of Data and Administrative Records. This is a full-time, non-exempt staff position that primarily supports assessment and accreditation compliance functions in the Education programs (3/4) as well as College Assessment processes (1/4).

The Coordinator of Data and Administrative Records provides primary support to Education by maintaining all assessment and compliance systems, collecting and aggregating data, and preparing reports for program analysis and reporting by the Head of Teacher Education at the state and national levels. The Coordinator is responsible for the preparation and submission of the federal and state annual reports required for teacher preparation programs, in collaboration with the Head of Teacher Education. The Coordinator also maintains Educational Studies major/minor student data, maintains the department webpages including those related to EPP accreditation, and monitors and provides support to students during the teacher licensure application process.

The Coordinator of Data and Administrative Records will also provide support for the College Director of Assessment in maintaining the smooth functioning of college assessment processes, including representation of data for reporting and accreditation purposes.

Reporting to the Head of Teacher Education/College Director of Assessment, the Coordinator of Data and Administrative Records’ duties and responsibilities include, but are not limited to, the following*:

Education

· Prepare and submit federal and state annual reports required for teacher preparation programs

· Create all data reports for accreditation review and for electronic evidence room for CAEP site review

· Maintain database and prepare tracking report for licensure and Educational Studies

· Collate, aggregate, and prepare reports on candidate and program assessment data used in analysis for program improvement and accreditation

· Maintain and update Education program webpages

· Create and issue required surveys to graduates and employers; aggregate the survey data for analysis

· Regularly review licensure application process and procedure through ODE; monitor application submissions, and provide support to candidates during the application process

· Collaborate with Education faculty and staff to develop and implement new assessments and tracking forms/procedures

· Update licensure sheets with current course and testing requirements

· Assist in accreditation review process and visit logistic arrangements

· Maintain department SharePoint side including student archive system

· Monitor inventory and check-out procedure for program technology equipment

· Attend Education program meetings and complete other Education administrative tasks

College Assessment

· Maintain College assessment database for student learning outcomes

· Represent data on student outcomes for internal and external College reporting purposes

· Maintain review system calendar and work with College Director of Assessment to communicate program requirements

· Compile final College Assessment reports for student learning outcomes and internal/external program reviews

· Work with programs during internal/external reviews to ensure smooth and timely execution

· Attend Assessment Committee Meetings and maintain meeting minutes

· Update and maintain Assessment Moodle site with College Director of Assessment

· Other duties as assigned

Requirements

A high school diploma is required; a Bachelor’s degree is preferred. Candidates must demonstrate advanced proficiency in database systems and management, and with Excel. Strong written and verbal communication skills, the ability to work independently and to collaborate on team projects is required. A minimum of three years’ experience is required. Experience in accreditation and data analysis and report preparation is preferred.
