About the Opportunity

Job Description:

The College of Engineering Multidisciplinary Graduate (MGEN) Unit focuses on producing more effective engineers who are substantially more capable than ever of addressing the needs of digital society in terms of time, cost, and quality. The unit thrives to accomplish this by improving the way systems are designed and evolved overtime. We believe the software challenge is a system engineering one, rather than a coding problem.

The MGEN Department is seeking an Program Assistant (PA) that will report to the Assistant Director of Academic Operations. We are seeking a dynamic, self-starting individual who can assist the Assistant Director in planning and establishing the unit's classes and labs. The person in this position will provide crucial coordination and oversight support to ensure that the programs classes are scheduled (using CourseLeaf, Banner, etc.), instructors are assigned and supported, and scheduling management systems are up-to-date. The PA will coordinate department projects to ensure scopes and timelines are achieved and will be responsible for problem solving and communicating key status updates to unit members. They must be able to communicate professionally and in an enthusiastic manner, coordinate communications with students, staff, and faculty across the College and University. Administrative responsibilities include the preparation of draft communications, daily correspondence, special messaging on the behalf of the Assistant Director, scheduling meetings, and proof-reading documents. Work on weekday evenings and weekends may be required.

Qualifications:

Bachelor's degree required and 2 years of administrative experience.
  • Must possess the ability to organize and prioritize workload, identify project needs/requirements with supervision, track enrollment, and organize as necessary
  • Excellent critical thinking skills and must be detail-oriented.
  • Strong ability to develop and produce spreadsheets, analyze data and produce summary reports
  • Must have excellent computer skills including proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Publisher, etc.) and Outlook are required; experience with CourseLeaf and Banner are preferred
  • Individual must have strong organization and communication (both oral and written) skills for both daily tasks, as well as internal and external correspondence
  • Excellent interpersonal skills and ability to establish positive working relationships at all levels
  • Must be able to understand complex material to communicate effectively and be able to work with confidential information
