Purpose of Position
Position will be responsible for developing and maintaining the electronic database and paper records for the Upward Bound Program. Position will keep accurate books of program accounts and reconcile the program’s purchasing each month. Position will publish newsletters, brochures, and grant materials. Position will complete forms, memoranda, and requests to sustain daily operations of the program. Position will serve as a receptionist to visitors. Position will check and update social media weekly.
Primary Responsibilities
Initiate paperwork for ensuring personnel hires, purchasing supplies and equipment, travel authorizations. Use MyNKU, SAP, and Universal Worklist for these processes.
Reconcile the program’s purchases and record-keeping (stipends, credit cards, etc).
Update the program’s database and improve the program’s documents.
Use of computer and knowledge of Microsoft Software for program essentials
Maintain filing system in hard copy and electronic forms
Assist Program Director in preparation for budget and federal annual reporting processes. Assist with auditing processes and tracking alumni.
Checking and responding to emails about program
Update calendars for staff members and help with the initiation of activities for the program.
Occasionally making reservations on and off campus.
Maintain office supplies and inventory
Open and distribute mail
Qualifications
High School Diploma/ GED with Business/Administrative Training
Professional composure with friendly, flexible attitude and competence in using a wide range of technological equipment. Good verbal and writing skills required. Initiative and follow through essential, especially with budgetary concerns.
Updating all budgetary, record-keeping, technical maintenance, and office inventory ordering. Ability to learn procedures and policies of MyNKU, SAP, Universal Worklist, and P-Card processes.
Must have a valid driver’s license, the ability to walk up to 2 miles at a moderate pace, and ability to lift light objects.
Any candidate who is offered this position will be required to go through a pre-employment criminal background check as mandated by state law.
