Summary:
The University of Portland seeks an Academic Program Counselor for the Shiley School of Engineering. This position advises undergraduate students in the Shiley School of Engineering (SSOE) to meet degree requirements and achieve academic success. Primary responsibilities include registering students, advising and counseling students regarding curriculum and degree requirements, referring students to department and University resources, planning informational programming, evaluating graduation applications, assisting the Associate Dean of SSOE with administrative tasks, and communicating student expectations.

    Responsibilities:
  • Advise current and incoming engineering and computer science majors and SSOE minors. Act as a primary point of contact for current and prospective students for curriculum related questions.
  • Provide advice to students on a range of issues, including, but not limited to; academic progress, academic program policies, career plans, accessibility, community standards, etc., to assist them in making appropriate choices and decisions.
  • Hold meetings with students each semester to assess academic goals and create graduation plans, review courses taken and needed, and keep track of progress toward meeting graduation requirements, including fulfillment of ABET minimum requirements.
  • Assist in connecting students to University resources to ensure their academic and personal success.
  • Assist in registering students for courses each semester with the Registrar’s Office.
  • Collaborate to maintain and update all engineering student electronic records.
  • Partner with the Associate Dean to address student problems and academic/disciplinary issues and conduct meetings with students who may be academically at risk.
  • Document correspondence relating to Care Team cases. In coordination with the Associate Dean of Academic Affairs, participate in discussions and contribute insight from student interactions to the Care Team.
  • Perform degree audits and review degree applications to confirm eligibility for graduation.
  • Coordinate with admissions regarding transfer equivalency and curriculum requirements for prospective and admitted SSOE transfer students.
  • Provide the Athletics department with information regarding NCAA compliance, including potential student-athlete transfer evaluations, progress toward degree (PTD) certification, and degree completion.
  • Work with the Studies Abroad office to advise SSOE students planning to go abroad, assist them in creating a plan for going abroad, and evaluate course equivalencies in those programs.
  • Work with the office of International Student Services to assist incoming students (permanent and exchange) with registration for coursework.
  • Participate in campus-wide meetings with other academic units for program coordination and inter-university relations.
  • Support SSOE participation at university events, including Admissions events, Fall Orientation weekend, Weekend on the Bluff, and Family Weekend events, and plan and execute SSOE student-centered events.
  • Support maintaining and updating SSOE academic information on marketing materials and websites.

    Requirements:
    Education and Experience
  • Required: Bachelor’s degree.
  • Preferred: 1 to 3 years professional experience in academic/higher education environments or a combination of equivalent education and/or experience.
  • Preferred: Experience working with students in the engineering or computer science fields.
  • Preferred: Experience using BANNER, Argos, Degree Works, Zoom, and/or Etrieve.
  • Or a combination of equivalent education and/or experience.

  • Strong interpersonal/customer service skills and ability to communicate effectively via online platforms, presentations, one-on-one student meetings, and written communication.
  • Able to work collaboratively and effectively with organizations and departments within and outside the University.
  • Effectively receive supervisory input and directions and work as part of and contribute to a team, being flexible with changing circumstances.
  • A high degree of organizational skills with attention to detail.
  • Able to prioritize multiple projects occurring at the same time, and complete work on time and accurately in a fast-paced setting.
