Job Summary:

This position is part of a team of business operations and financial specialists in the Institute for Regional & International Studies (IRIS) at the University of Wisconsin-Madison. This position is responsible for developing and maintaining financial data and all related record-keeping activities for the area studies centers assigned to this position. This position independently performs exact accounting and analytical financial services for contributing units. This position is also responsible for ensuring that travel-related purchases (airfare and lodging) made on behalf of IRIS staff and guest speakers are compliant with UW-Madison travel policies. The person must work as a contributing team member by demonstrating a commitment to organizational success, working autonomously but in a collaborative environment. This position requires comprehensive financial knowledge, advanced computer, written and oral skills, and excellent communication and organizational skills. The person in this position must have the ability to interpret complex rules, guidelines and regulations at the University, College, and departmental levels and must possess familiarity with financial policies and procedures associated with external granting agencies.

Responsibilities:

Primarily reviews, approves, and advises on a variety of advanced financial transactions. May prepare some financial transactions and reconciles transactions. Recommends controls and process improvements, troubleshoots advanced financial errors. Maintains financial records, provides administrative processing support, and provides customer service for staff and customers in an assigned program area to support program financial management.
  • 20% Audits, monitors, organizes, and updates fiscal records, reports, and affiliated materials
  • 10% Creates general reporting for transactions
  • 20% Audits or processes advanced transactions and assigns funding codes in accordance with established rules, regulations, and policies
  • 5% Audits or reconciles original purchase documents with payments
  • 5% Reallocates expenses to appropriate funding strings
  • 5% Drafts communications and advanced reports and maintains organization of varied records to provide administrative support within a specified work unit
  • 10% Answers advanced fiscal questions and provides information based on set materials and standards to various audiences
  • 5% Reviews transaction processing internal controls and recommends policies and procedures
  • 5% Maintains particular expertise on UW-Madison policies and procedures related to Purchasing Services and serves as purchasing and contracts resource for all IRIS units.
  • 15% Serve as purchasing card holder for IRIS Central and the Travel and Event Management System.
Tasks:
  • Acts as site manager for all purchasing cards of individuals in the IRIS units for which this position is responsible.
  • Tracks TEMS records related to the IRIS units for which this position is responsible, and updates TEMS records according to IRIS business procedures.
  • Maintains in the IRIS shared folder record retention copies of all transactions related to the IRIS units for which this position is responsible, according to IRIS business procedures.
  • Serve as back-up to other IRIS Financial Specialist as needed, for p-cards, e-reimbursement, etc.
  • Meet with IRIS guest speakers to collect financial, travel and tax documents as required for processing payments.
  • Process supplier set up requests in the Shared Financial System and process financial transactions in ShopUW+.
  • Interact with WISER and Shared Financial System tools to accomplish financial reporting duties.
  • Other duties as assigned.

Education:

Preferred
Associate's Degree in relevant field

Qualifications:

Proficient in Microsoft Excel and Word. Experience with or ability to learn data base systems.
Ability to manage and coordinate complete data & financial records with accuracy and attention to detail.
Ability to interpret and apply complex university, state, federal, and granting agency rules, regulations, and guidelines.
Effective written and verbal communication and interpersonal skills to positively interact with a variety of people from all parts of the world, and to work independently to meet goals and work assignments of the unit.
Effective skills to be able to prioritize work assignments under stressful and sometimes conflicting constraints. Understanding of accounting principles sufficient to manage program budgets and forecast future expenditures. Knowledge of software and desktop applications and their use for effective business management.
Well organized and extremely detailed, able to multi-task and handle diverse duties, and able to follow written and oral instructions with limited supervision.
Experience interpreting multiple sets of reimbursement rules and regulations and auditing invoices and reimbursement requests.
Ability to independently make decisions and resolve problems. Ability to maintain confidentiality and exercise good judgment. Ability to represent the office in a highly professional manner. Positive attitude and strong interpersonal communication skills

Work Schedule:

This position will fall within the business hours of 8:00 a.m.-4:30 p.m., but can be flexible.

Work Type:

Part Time: 80%

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.
