Advertised Pay: Low to mid $70,000s, commensurate with experience

Position Summary: As a member of the Vice President for Administration and Treasurer (VPAT) team, the Manager, Academic Budget and Operations for the School of Law (SOL), is responsible for managing and supporting the business operations for assigned academic or academic-reporting units. Currently, this position will be expected to balance time between the SOL and other areas as assigned within academic affairs and the Finance Shared Services. The Manager is responsible for serving on the given leadership teams by preparing and overseeing the related budgets, supporting procurement, accounts payable, and reporting. In addition, the position works in collaboration and coordination among departments and across central University functions. This position will report to the University Controller and the Dean of the School of Law.

Essential Functions:
Understand and comply with all Washburn University policies, regulations, and procedures about budgeting, purchasing, accounting, and inventory control.

Collect, collate, analyze, and interpret financial data to monitor and track revenues and expenditures for multiple funding streams at Washburn University and School of Law (SOL) involving budgeted, endowed, restricted, and unrestricted funds provided by the University or Washburn University Foundation.

Oversee the budgets and accurate reporting of all grant fund expenditures for assigned areas on a timely basis.

Track budget administration policies and procedures, focusing on salary planning, office overhead, reconciliations, and expenses to provide recommendations to the assigned Dean(s) and Director(s), the Finance Shared Services, including the University Controller, and the University Budget Office.

Monitor budget activity, including respective warehouse inventory levels, to remain apprised of each area's expenditures, concerns, and issues. Then, work with stakeholders as needed to resolve problems as they develop.

Coordinate capital, other equipment, and technology requests for the annual budget process.

Develop financial documents ranging from simple schedules to financial statement drafts to report and reflect financial information for assigned areas.

Collaborate with the VPAT office, the University Budget Office, the Finance Shared Services, and assigned Dean(s), and Director(s) to prepare the annual operating budgets.

Oversee the Faculty Load and Compensation (FLAC) payments for the SOL including correcting errors, confirming accurate data entry, Dean’s approval signature and final locking of all payment records. Notify Human Resources when all FLAC records are locked and ready to be processed. Respond to Human Resources to clarify SOL FLAC questions or concerns.

Maintain SOL SharePoint sites to include the finance site and the general SOL site.

Supervise SOL accountant in the facilitation of day-to-day operations, including accounts payable/receivable, bookkeeping, and cashier operations, including the Law Library.

SOL point of contact for all purchasing activities including Requests for Proposals (RFP). Work with staff to develop the RFP verbiage and requirements and submit to Purchasing for finalizing and publishing. Forethought is required to allow sufficient time for the RFP to be published, reviewed, and submitted, if necessary, to the Washburn Board of Regents for approval when required.

Process the necessary paperwork for the VPAA’s approval for faculty hiring and recruitment. Assist the SOL Dean with final faculty appointment recommendation forms and submission to Human Resources for processing. Ensure budgets are updated as employees/positions change.

Performs additional job-related duties as assigned or as appropriate.

Required Qualifications:
Bachelor's degree and five years of related experience in higher education or another complex
organizational structure, or

Graduate coursework in business/public or higher education administration, organizational leadership/management and three years of related experience in higher education or other complex organizational structure, or

A combination of relevant education and related work experience equivalent to a bachelor's degree and five years of experience.

The position requires attention to detail, data analysis and reporting, writing, and research skills.

Ability to prioritize and follow through on multiple tasks while maintaining a high degree of accuracy and speed.

Highly effective analytical, critical appraisal, problem-solving and organizational skills.

Advanced Excel skills.

Experience with database applications.

Ability to work successfully as part of a team.

Effective interpersonal, conflict resolution, communication, and consultation skills.

Preferred Qualifications:
Consulting or public accounting work experience
Master's Degree
Seven years of related experience in higher education
