Job Description Summary
Provide coordination and high-level administrative support for the department. Act as program advisor, and as liaison between students, faculty, administrative staff, and other university areas. Performs all academic administrative functions for the undergraduate/ graduate program.
The Program Coordinator for Faculty Affairs serves as resource to the Department of Ophthalmology for employment policies and procedures related to faculty and academic support staff. Individual coordinates and leads faculty actions (appointments, reappointments promotions, AA/EEO compliance etc.) and assists in recruitment and onboarding activities. This position also provides support with Continuing Medical Education Programs.
The coordinator will serve as backup in obtaining faculty hospital privileges and maintaining physician licensing. Additional duties support the day to day operations of the Office of the Chair as they relate to faculty affairs.
Job Description
Job Responsibilities
- Handle communications, inquiries, and visitors, field questions and deliver messages. Keep all department document protocols up to date at all times. Order supplies, deliver mail, make copies
- Coordinate administrative aspects of undergraduate/graduate/office/program. Advise undergrad/grad students on academic programs and provide support with course registration and curriculum planning.
- Coordinate hiring, appointment, and other logistics. Have a good understanding of the protocol surrounding the personnel actions.
- Administrative Support to Chair/ Faculty/ Director/ Senior Leader: track deadlines, coordinate travel
- Act as departmental liaison with faculty, students, staff, other departments
- Post news, coordinate distribution and develop content for department website
- Act as departmental point person regarding budget
- Assist Chair/ Faculty/ Department Administrator to manage the undergraduate curriculum and support chairs' overall academic and curriculum planning. Organize the curriculum, identifying and effectively procuring suitable teaching spaces and any related issue
- Working with the center's event planner, coordinate department colloquiums, including ordering food, inviting speakers, honorarium payments, travel reimbursements, posting announcements, and logistics. Create budget for and oversee annual visiting scholar series, conferences, language faculty retreat, annual department reception, faculty meetings and retreats including creating an agenda, taking minutes and follow up
- Admissions: In coordination with graduate chairs, manage all aspects of the admissions process for Masters and PhD students
- Monitor and support student and TA activity in online courses
- Other duties and responsibilities as assigned
Qualifications
- High School Grad/GE Degree and 5 to 7 years of experience or equivalent combination of education and experience is required.
