Administrative Position, 10 month, full-time, benefits-eligible,
Center for Counseling and Psychological Services

Perform administrative and receptionist duties in support of Counseling Health and Wellness (CHW) department supervisors, counseling staff, and other designated personnel; provide administrative or operational assistance to the department such as :

  1. Manage CHW front desk activities including welcoming visitors, distributing client flow, routing multiple line telephone system; arrange for and schedule appointments including interviewing screening callers or visitors; provide routine information not requiring professional staff attention; assist callers in assessing level of urgency of their requests.
  2. Initiate and coordinate referrals to off-campus mental health providers
  3. Assist in monitoring the Counseling Center email account; respond to various requests for information and outreach requests from students, faculty, administrators, staff, and others concerning the Counseling Center and the College.
  4. Provide administrative support to the Center for Health Promotion. Included, but not limited to, supply ordering, and scheduling meetings & appointments.
  5. Maintain student records according to ethical guidelines, state law, and departmental policy; bring to the attention of supervisor significant items, changes, errors or omissions in reports or records.
  6. Prepare or compose letters, reports, or statements in accordance with general instructions from supervisor or other members of the Counseling staff.
  7. Create and maintain database for client information, administer service delivery and evaluation system, enter data, and run preliminary center statistics.
  8. Maintain up-to-date manuals, directives, budget records and related materials. Set up and maintain office files, correspondence, and reports required for reference and efficient operation of the department.
  9. Process personnel, graduate student interns, payroll, and other College procedural and operational documents; schedule and arrange meetings; maintain and keep accurate departmental record and prepare related reports.
  10. Assist in developing brochures, programs, advertisements, fliers, and other literature; order and renew departmental subscriptions, publications, and supplies.
  11. Perform administrative duties such as managing financial transactions, assisting with budgets, and serving as liaison with off-campus individuals and agencies.
  12. Make reservations for travel and living accommodations; prepare materials and make arrangements for meetings and special functions; make necessary arrangements for meals, refreshments, and facility support.
  13. Hire, train, supervise and participate in evaluation of support staff and student workers as directed.
  14. Participate in special projects as assigned.
  15. Ensure confidentiality and security of office facilities, equipment, and records.
  16. Initiate requests for routine maintenance, and equipment repair.
  17. Recommend to supervisor methods for improvement of office procedures or workflow. Implement approved changes. Follow and track work orders to ensure completion.


High school diploma and a minimum of 2 years previous office experience. Good attention to detail, organizational, interpersonal, verbal, and written communication skills. Good working knowledge of spreadsheet, database, presentation and word processing software applications. Ability to monitor budget expenditures, prioritize projects, handle multiple tasks and meet deadlines while working independently and as a team is required. Previous experience working in a college/university setting is preferred.
