This is an 'On-Campus Only' Recruitment. Qualified applicants must be current employees of CSUSB.

Under general instruction of the Director of Outreach, the Student Services Assistant will provide moderate to complex clerical and secretarial work functions of the front counter, handle in-person encounters with perspective students. This position is vital to the primary functions of the office.

Major duties and responsibilities:

Under general instruction of the Director of Outreach, the Student Services Assistant will be responsible for:
  • Provides moderate to complex clerical and secretarial front office support and works on a variety of matters presented by faculty, students, and staff.
  • Ability to perform multiple priorities, handle sensitive information and data, be responsible for financial transactions such as distribution of paychecks or paystubs.
  • The incumbent responds to department emails, answers phone, maintains advisor calendars, and schedules appointments for students.
  • Demonstrated ability to clearly explain a variety of moderate to complex policies and procedures to students, the general public and to other campus employees' in-person and on the phone.
  • Ability to communicate with an ethnically and culturally diverse campus community.
  • Help with travel arrangements for Outreach staff.
  • Office supply inventory and management.
  • Other duties as assigned.

Minimum Qualifications: Required Education and Experience
  • High School diploma or its equivalent.
  • Two years of experience in general office clerical or secretarial work or the equivalent.

Required Qualifications
  • Experience to be proficient in performing most or all work assignments.
  • General working knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough knowledge of office methods, procedures, and practices.
  • Ability to use standard office equipment. Typing and keyboard skills.
  • Fluency in using standard word processing and related computer software packages.
  • Ability to identify and solve standard problems and refer more complex problems to appropriate staff.
  • Thorough knowledge of English grammar, punctuation, and spelling.
  • Ability to learn, interpret independently, and apply a variety of complex policies and procedures. Able to identify deviations from applicable policies.
  • Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
  • Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data.
  • Work often involves front line contacts with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills.
  • Demonstrated competence in effectively presenting standard information in writing.
  • Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.
  • Thorough knowledge of correct English grammar, spelling, and punctuation; and office methods and basic filing systems procedures and practices.
  • Ability to learn, interpret independently and apply a variety of complex policies and procedures; review and resolve routine clerical problems.
  • Work in a busy environment with frequent interruptions; communicate effectively both orally and in writing; prepare and draft memoranda and correspondence; keep moderately complex records and files; establish and maintain cooperative working relationships; operate standard office equipment, and software.

Preferred Qualifications
  • Equivalent to three (3) years of full-time, general office clerical work that has provided the applicant with the knowledge and abilities listed.
  • Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two (2) years of the required experience on a year for year basis.
  • Knowledge and usage experience of PeopleSoft; Google Suite; Microsoft Suite.
  • Experience working in a higher education setting.
  • Experience using a database management system.
  • Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.

Compensation and Benefits:

Anticipated Hiring Rate: $3,438 per month

Classification Salary Range: $3,338 - $ 4,913 per month

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 14 paid holidays a year. Position Information:

Work status: Full-time/Non-Exempt/Probationary

Schedule: Monday through Friday from 8:00 am to 5:00 pm, weekends and evenings may be required.

Conditions of Employment

Background Check

Satisfactory completion of a background check (including a criminal records check) is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.

Drivers License Check

Possession of a valid Driver's License is required. Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.
