Job Description

The Program/Project Support Coordinator for GUST is responsible for helping to coordinate activities related to the GUST contract. This is a full-time, benefit-eligible position that is funded for the term of the GUST contract.

Reporting:

This position has primary reporting duties to the GUST Liaison Officer with secondary reporting duties to the GUST Principal Investigator (PI) and Academic Lead. As a staff member in the College of Engineering and Computing ( CEC), this position also indirectly reports to the Vice Provost and Dean of the College.

Responsibilities:
  • Assists with planning and scheduling contract activities.
  • Responds to internal and external correspondence.
  • Helps to maintain agreements, proposals, and contract records.
  • Helps track contract-related expenditures, budgets, and payments.
  • Assists with preparing monthly budget reports for the GUST contract.
  • Assists with scheduling and documenting regular meetings and developing and delivering progress reports.
  • Assists Project Directors, administration and faculty with meeting project timelines, deadlines, and deliverables required by the contract.
  • Coordinates, schedules, and arranges meetings and travel calendars, including business and social events for project participants.
  • Provides information in preparation for meetings, and conference calls, as needed.
  • Assists in coordinating and participating in contract activities, special events and other campus-wide activities.
  • Assists in compiling data, reports, and presentations.
  • Ensures compliance and adherence to fiscal requirements.
  • Assists the Liaison Officer and PI with expense reports, correspondence, and any other duties as required.
  • Acts as daily point of contact for project participants, faculty, and staff.
  • Participates in regular interactions with internal and external entities.
  • Assists with organizing meetings and video conferences, and records and distributes meeting minutes, as needed.
  • Assists with developing print and online marketing materials as needed.
  • Assists with updating the Global Partnerships and GUST Partnership website.
  • Assists the Liaison Officer, PI, faculty team members, and administration with planning and coordinating annual site visits to the GUST campus in Kuwait.
    • Helps with travel authorizations, travel planning and coordination, developing travel itineraries, ensuring travelers secure passports and visas, and researching country-specific travel safety information.
  • Assists the Liaison Officer and PI with coordinating annual delegation visits from GUST and hosting other visitors to the Missouri S&T campus.
    • Coordinates meetings between visitors and the Missouri S&T administration, faculty, and staff.
    • Helps develop travel itineraries for visitors and assists in protocol functions.
    • Assists with ensuring appropriate immigration documents are created for incoming scholars, administration, and faculty.
    • Work may include driving visitors to/from the airport and accompanying them during some travel.
    • Occasional work after hours may be needed when hosting outside entities.
  • Help with the development and coordination of the GUST Summer Scholarship Program and GUST faculty scholar visits by:
    • Assisting with creating, scheduling, and maintaining summer program schedules.
    • Ensuring appropriate immigration documents are created for incoming students and faculty.
    • Assisting incoming students with personal adjustment issues, housing, transportation, and cross-cultural programming as needed.
    • Helping to manage the day to day needs of student and faculty visitors.
    • Ordering office supplies, food, and beverages as needed.
    • Coordinating and participating in field trips and related activities.
    • Helping to transport participants during the program.
    • Occasional work after hours may be needed when hosting summer students and faculty.
  • Helps coordinate faculty-led study abroad trips to Kuwait.
  • Helps coordinate related special events and activities such as:
    • Working with the Missouri S&T Kuwait Students Organization to help plan and coordinate the annual Kuwait National Day celebration on campus, and to help plan related engagement activities during the annual Celebration of Nations event.
  • Assists the CEC administration, faculty and staff with organizing partnership meetings, special events, and other activities as needed.
  • Other duties as assigned.
Minimum Qualifications
  • A Bachelor's degree or an equivalent combination of education and experience and 1 year of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred Qualifications
  • Proficient in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Must be able to interact with international students and visitors in a fast-paced environment.
  • PeopleSoft experience.
  • Terminal Four experience.
