Xavier University seeks an Administrative Assistant III to provide administrative and clerical support for the Associate Vice President and CIO of Information Technologies. Also supports division directors by assisting with department and division budgets.

Responsibilities include:
  • Provide administrative and clerical support for CIO
    • Maintain calendar of the CIO
    • Prepare correspondence for CIO, including salary letters and offer letters
    • Enter job postings in the application tracking system, SilkRoad, and monitor process
    • Travel arrangements and trip coordination for those in the division as needed
  • Assist with divisional budgets
    • Update approval spreadsheets annually
    • Establish and maintain standing purchase orders
    • Enter and track purchase orders and complete them once the work is complete
    • Process budgets revisions and credit card payments
  • Support Xavier Technology Committee
    • Schedule meetings, coordinate and distribute meeting materials, and take meeting minutes
    • Prepare surveys in Qualtrics and process reports
  • Provide divisional operations support
    • Order and maintain office supplies
    • Maintain files (paper and electronic)
    • Schedule meeting rooms
    • Coordinate meetings, including scheduling the meeting and rooms, collecting the agenda, taking minutes, and coordinating food and refreshments as needed
    • Act as liaison between the office of the CIO and other divisions across the university
Required Qualifications:
  • High School Diploma or GED is required
  • 5-10 years office/administrative support experience
  • Strong experience with and understanding of Microsoft Office products, particularly Outlook, Excel, and Word
  • Strong attention to detail
  • Ability to track items across multiple systems
  • Ability to take minutes in meetings
Preferred Qualifications:
  • Associated degree or higher
  • Experience in higher education
  • Experience with Unimarket e-procurement system
  • Experience with Banner Finance
