Job Description

The Operations Assistant will oversee the operations and systems managed through the department’s main reception area/welcome desk and provide supervisory oversight to the operations of the department’s drop-in career advising service.

Job Duties
  • Staff the department’s welcome desk area, greeting guests, answering/transferring phone calls, receiving and distributing regular mail and email, scheduling appointments, and maintaining the professional appearance of common areas
  • Hire, train, supervise, schedule, and evaluate performance of the department’s student staff who assist in supporting welcome desk operations, career peer advising, and other service areas
  • Create and manage student employee weekly work schedules
  • Assist the department’s employer engagement team in reviewing and approving employer registrations and job postings in the university’s student alumni job posting system (Handshake) and staffing large-scale career events such as job fairs
  • Ensure department supplies remain stocked, ordering when necessary, documenting receipt and delivery to appropriate department staff and storage locations
  • Provide administrative support to members of the department’s leadership team
  • Serve as back up support to the department’s office manager
