Position Purpose: The Executive Assistant for Student
Success and Academic Affairs supports learning by providing
administrative office management to the Senior Vice President for
Student Success and the Vice President of Academic Affairs.

Essential Job Functions:
Supports the Senior Vice President for Student Success (SVPSS)
and Vice President for Academic Affairs (VPAA) in administrative
needs such as accurately recording meeting minutes, preparing
agendas, confirming attendees, and/or securing meeting locations,
etc.
Meeting preparation for the Board of Trustees Educational
Affairs Committee (EAC) Committee including organization of meeting
materials; attend all EAC meetings to take minutes.
Coordinates with the President’s Office on matters relating to
the Board.
Ensures the master Student Success events calendar is current
and relevant.
Maintains and communicates the annual calendar for faculty
hiring and appointments.
Coordinates travel and candidate visits for the SVPSS and
VPAA.
Collaborates with departments to analyze administrative systems
and processes within Student Success and Academic Affairs and
provide recommendations on process improvements.
Develops and maintains a system where SVPSS and VPAA projects
are tracked until completion on a regular basis.
Prepares all expense budget requests and budget reconciliation
for the department.
Monitors budgets for the SVPSS and VPAA.
Assists in the development and coordination of experiential
learning opportunities for students out of the Wackerlin Center for
Faith in Action.
Liaises with departments and faculty across all AU locations to
address emerging student needs.
Anticipates and resolves unique and/or complex administrative
issues associated with faculty affairs by effectively interpreting,
analyzing, and communicating policies in the Faculty Handbook.
Leads and manages all new faculty and faculty appointments and
documentation.
In coordination with HR processes, prepare and monitor
documentation associated to appointments.
Ensures compliance and generates reports on faculty
qualifications.
Ensures completed paperwork is shared with HR.
Prepares and distributes annual contracts for full-time
faculty.
Oversight of per-course adjunct faculty contracting in
coordination with academic colleges, HR, and the business
office.
Facilitates and manages the documentation associated with the
confidential faculty tenure and/or promotion review process
including assisting the Faculty Personnel Committee with any
administrative needs.
Maintains faculty physical and electronic files. Updates
faculty information with regard to all promotions, tenures, and
sabbatical leave information.
Assists the university in other capacities as needed that align
with strategic initiatives.
Additional duties as assigned by the VPAA and SVP for Student
Success.
Essential Job Requirements:
Education:
- Bachelor’s degree preferred; equivalent work experience in an
administrative setting will be considered.
Experience:
- Higher education experience is strongly preferred.
Skills:
- Goal-oriented.
- Excellent communication and organization skills,
customer-service orientation, and professional manner.
- Computer knowledge is essential.
- Expertise in Microsoft Excel required.
- Ability to interact with a diverse group of faculty, staff, and
students and to develop strong working relationships with
colleagues, staff, administrators, students, and the general
public.
- Flexibility with an evolving workstation.
Special Requirements:
- Valid driver’s license.
- Ability to travel to all enrollment sites.
- Some evening and Saturday hours are required.
Physical Requirements:
- Ability to move about at those locations.
- Ability to move about campus.
- Ability to interact via telephone, in person, and via
electronic media.
