The position is responsible for various support activities within the Athletic Business Office, focusing on procurement, payables, and expense reconciliation. This position will work closely with sports and units to support business functions, travel, university credit card reconciliation, and financial operations in Workday. This position reports to the Associate Athletics Director - Business and Team Services.

Due to the nature of the work involved, the position requires a detail-oriented individual, self-starter, multitasker, and team player with an upbeat demeanor, capable of independently resolving problems and providing outstanding customer service. This position demands upholding strict confidentiality, excellent communication skills, and requires firmness when requiring compliance with University and Department policies and procedures.

Job Duties:
  • Provide support to units and sports in the following areas: monitor outstanding transactions and encumbrances, entry and review of business transactions, team travel business operations, procurement and accounts payable operations, and general training and reconciliation support to Athletic staff for credit card activities

  • Review requisitions and supplier contracts in Workday for all Athletic cost centers. Manage vendor set-up and assist with supplier contract and purchase order management.

  • Assist with oversight of department fixed assets and inventory process, monitor acquisition of assets and small dollar inventory items, and distribute quarterly fixed asset reports. Management of Customer invoices in Workday, distribution, and payment tracking.

  • Think critically and work collaboratively to evaluate and improve business purchasing processes and troubleshoot issues.


    Minimum Qualifications:
    -High school diploma or equivalent
    -Three years of administrative/office experience, with experience purchasing business related items
    -Proficiency with Word, Excel, PowerPoint, Google Workspace, email, and other similar software programs
    -Strong customer service focus and time management and organizational skills
    -Demonstrated attention to detail and ability to enter large volumes of alpha/numeric data into a computerized system
    -Demonstrated ability to work with numerous interruptions, meet deadlines, and work well under pressure.
    -Strong interpersonal skills, exhibited by the ability to exercise diplomacy, tact, discretion, and strict confidentiality with all persons both -within and outside the department
    -Ability to understand and communicate oral and written instructions and procedures effectively
    -Demonstrated ability to work independently and as a team member; take the initiative, use good judgment, and communicate effectively
    -The demonstrated commitment to diversity and inclusiveness

    Other Requirements
    -A post-offer criminal background
    -This position will be considered for scheduling flexibility to work in a hybrid capacity based on staffing and business needs
    -Ability to work occasional overtime as required


    Preferred Qualifications:
    -Associates Degree or Bachelor's Degree in a business-related field
    -Experience with integrated databases such as Workday (financial management) or similar
    -Higher Education Experience


    Work Type:
    This is a full-time, year round benefits eligible position.

    This role is not budgeted for visa sponsorship at this time, all candidates must be authorized to work in the US at the time of submission of the application.

    Salary Range:
    This is a non-exempt staff position with a hiring range of $16 - 19.99. The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.
