Pay Range Information

Chapman University is required to provide a reasonable estimate of the compensation range for this position. This range takes into account a variety of factors that are considered in making compensation decisions, including experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. Salary offers are determined based on the final candidate’s qualifications and experience, as well as internal equity and other internal factors. The anticipated pay range is not a promise of a particular wage.

Job Description Summary

The College and School Development ( CSD ) Coordinator is a member of a team dedicated to supporting Chapman’s colleges and schools by achieving fundraising and engagement goals. The Coordinator will provide daily administrative and project support for the office of the Associate Vice President and individual School and College Development offices. The coordinator will maintain CSD web pages, and provide organizational activities and assistance for the CSD offices. The coordinator must demonstrate satisfactory business writing skills for drafting letters and correspondence related to outreach efforts. Will perform research on prospects, track departmental metrics and activity with donors. The coordinator will perform data entry as needed.

Responsibilities

ADMINISTRATIVE SUPPORT, COORDINATION, AND RECORDKEEPING
  • Provide administrative support for Associate Vice President of College and School Development such as calendar management, prospect and donor correspondence, phone calls, follow up communications, travel, financials, and meeting arrangements. Provide Administrative support as needed for other CSD team members who will be fundraising at the colleges/schools and for institutional priorities.
  • Assist with preparing donor presentation materials to include gift/pledge proposals, solicitation documents, donor reports and briefing documents as needed.
  • Assist with drafting and designing communication updates for College and School Development Team.
  • Provide high level customer service via phone, in person, email and mail. Respond to emails; prioritize requests. Coordinate correspondence and prepare and send stewardship materials to donors as requested.
  • Maintain the departmental Student Worker program to include hiring, systems training, worker oversight, and Human Resource reporting.

PROGRAM ASSISTANCE
  • Assist with stewardship programs, campaign specific programs and events, and departmental events to include scheduling, vendor negotiations, suppliers/caterers, event logistics and registration for CSD and office specific team events as directed.
  • Coordinate donor engagement experiences and for on-campus visits and tours for prospective donors and alumni with AVP of College and School Development and Development Officers.
  • Assist as needed with all other development and University Advancement activities and events and CRM management for College and School Development..
  • Liaise with Special Events and Stewardship teams to support individual Directors of Development and College and School Development Team.

OTHER DUTIES AS ASSIGNED
  • Assist with stewardship programs, campaign specific programs and events, and departmental events to include scheduling, vendor negotiations, suppliers/caterers, event logistics and registration for CSD and office specific team events as directed.

Required Qualifications
  • A bachelor’s degree with a minimum of one year’s experience in providing administrative, operational, and financial support or an equivalent combination of education and experience.
  • Minimum of one year experience in event management or program planning and implementation.
  • Strong organizational skills for planning and implementing multiple projects, simultaneously, under tight deadlines, which include scheduling, calendaring and coordinating logistics for meetings, travel, mail merges, special events and mailings.
  • Attention to detail.
  • Project management experience.
  • Strong communication skills (oral and written) for a wide range projects and audience groups.
  • Strong editing skills with attention to detail and a commitment to accuracy.
  • Ability to thrive in a fast-paced, entrepreneurial environment with flexibility and adaptability to changing deadlines and urgent priorities.
  • Ability to engage, motivate and interact with, a diverse group of team members, student workers and other campus constituents within and outside the university.
  • Ability to maintain a positive and professional demeanor, work independently, take initiative, and exercise discretion, tact, diplomacy and judgment while maintaining a high level of confidentiality.

  • Analytical skills to gather and analyze data, update records, manage databases, budgets, supplies and inventory.
  • Core computer skills in word processing, data base management, Excel spreadsheets and electronic communications.

  • Experience in marketing, communication strategies and branding concepts.
  • Knowledge of higher education, donor, and/or alumni activities and Chapman University policies and procedures.
  • Knowledge of basic fundraising resources, techniques and strategies.
