Program Coordinator - Leadership Relations

About the Opportunity

Reporting to the Assistant Vice President, Leadership Relations and Campaign Strategy (AVP), the Leadership Relations Coordinator is a critical member of the Leadership Relations team and will work closely with the AVP and Leadership Relations management team in support of excellent administrative and coordination support. This position requires an organized and energetic individual who is eager to learn and contribute through excellent interpersonal, written and oral communication skills, and collaborative interaction with other members of University Advancement, divisions and departments throughout the university, and external constituents.

The Coordinator works independently with minimal supervision and proactively update the Leadership Relations team on the status of projects. They will take the lead on pre-meeting preparations, including scheduling, briefings and logistics, and oversee post-meeting follow-up including communication, scheduling additional meetings, taking notes, organizing project flows, and collaborating with other teams to secure one-pagers, data, and other required communications pieces. The ideal candidate will have an understanding of how to develop one-pagers, briefs, and strategic concept documents to be used by the AVP. They will collaborate across the university to secure necessary information in order to craft such documents. The Coordinator will utilize MarketingCloud, Cvent, Salesforceand other platforms that allow for information sharing. They will assist with Zoom and other meeting platforms to ensure flawless execution of hybrid and virtual meetings and events.

The Coordinator will support the AVP in tracking lead generation and utilize Salesforce to support the AVP in prospect management and moves management. They will ensure that key contacts, correspondence, and strategies are entered into Salesforce.

QUALIFICATIONS
  • Bachelor's Degree required; two to three (2-3) years of professional experience preferably in higher education and/or development required.
  • The university is seeking a highly motivated, entrepreneurial, energetic individual who can think independently and analytically.
  • The ideal candidate will be a curious learner, eager to learn the business and anticipate needs of their manager.
  • Ability to manage and facilitate an intense workload and produce quality results in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Must be able to manage multiple priority projects at once with ease and efficiency.
  • Must be proactive, anticipate problems, be resourceful, and work effectively with colleagues and external constituents at all levels.
  • Strong interpersonal skills necessary for building relationships with external (donors, prospects, trustees) and internal (deans, faculty, staff, colleagues) constituents.
  • Strong organizational skills.
  • Highly collaborative in approach.
  • Ability to exercise good judgment when dealing with confidential and sensitive material.
  • Proficiency in Microsoft Word, PowerPoint, Outlook, and Excel


KEY RESPONSIBILITIES

Communication

Develop one-pagers, briefs, rationale documents, and strategic concept documents to be used by the AVP as well as the SVP team, VPs, and Leadership Relations team. Collaborate with teams throughout the division and university to secure information required to produce such documents. Distill information gleaned from meetings and produce working documents to ensure staff understand next steps and strategic priorities and decisions.

Develop understanding of digital communications including learning MarketingCloud and other platforms that allow for information sharing. Proactively learn new systems and platforms as needed. Assist with Zoom and other meeting platforms to ensure flawless execution of hybrid and virtual meetings and events.

Database Management

Track lead generation and utilize Salesforce to support the AVP in prospect management and moves management. Lead effort to ensure that key contacts, correspondence, and strategies are entered in relationship management software for prospects. Design and extract reports to oversee and monitor strategic activity with prospects and donors. Monitor and implement systems to assure strategic follow up.

Administrative Support

Provide key support and management of logistics to the Assistant Vice President. Oversee meeting prep, including but not limited to scheduling individual and group meetings (internal and external), briefings and event/meeting logistics, and manage post-meeting follow-up including communication, scheduling additional meetings, taking notes, organizing project flows, and collaborating with teams throughout the division and university to secure one-pagers, data, and other required information.
