Job Summary & Responsibilities:

The College of Engineering Multidisciplinary Graduate (MGEN) Unit focuses on producing more effective engineers who are substantially more capable than ever of addressing the needs of digital society in terms of time, cost, and quality. The unit thrives to accomplish this by improving the way systems are designed and evolved overtime. We believe the software challenge is a system engineering one, rather than a coding problem. The MGEN Department is seeking an Administrative Assistant to the Director of Information Systems and Computer System Engineering. We are seeking a dynamic, self-starting individual who can assist the Director in reaching their goals. The person in this position will provide crucial coordination and oversight support to ensure that the Director's time is effectively allocated and that development projects advance in a manner that prioritizes the Department's agenda. The AA will coordinate department projects to ensure scopes and timelines are achieved. They will be responsible for managing project schedules, problem solving, and communicating key status updates to unit members. They must be able to communicate professionally and in an enthusiastic manner, coordinate communications with students, staff, and faculty across the College and University. The AA is also responsible for coordinating the development of effective systems to manage the Director's administrative needs. Administrative responsibilities include the preparation of draft communications, daily correspondence, special messaging on the behalf of the Director, strategically scheduling meetings and travel, proof reading documents, and planning various events for students, staff, and faculty. Some work on weekday evenings and weekends may be required.

Minimum Qualifications:

Bachelor's degree required and 2 years of administrative experience.

  • Must possess the ability to organize and prioritize workload, identify project needs/requirements with supervision, track calendar events and meetings, and organize as necessary

  • Excellent critical thinking skills and must be detail-oriented. Requires independent thinking and decision making.

  • Must be able to understand complex material to communicate effectively and be able to work with confidential information

  • Excellent interpersonal skills and ability to establish positive working relationships at all levels
  • Must have excellent computer skills including proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Publisher, etc.), Outlook, and Concur.

  • Individual must have strong organization and communication (both oral and written) skills for both daily tasks, as well as internal and external correspondence
  • Strong ability to develop and produce spreadsheets, analyze data and produce written reports

  • Experience with event management is strongly preferred

  • Must possess a thorough knowledge of professional office procedures, good judgment, discretion and problem-solving skills

  • Strong ability to interact professionally with alumni, students, staff, faculty, vendors, and external entities
