Bard College seeks a full-time Program Assistant for the Al-Quds Bard office, situated within the Center for Civic Engagement (CCE). This administrative position supports one of our many international partnerships and is on the Bard College campus in Annandale-on-Hudson, New York. The person in this position will report to and work closely with the Al-Quds Bard (AQB) Program Manager in support of the day-to-day implementation of all joint programs under the AQB partnership and in providing general administrative support to AQB initiatives. The position will also collaborate with the various constituents at Bard College – including CCE and support offices – and at AQB in Palestine.

About Al-Quds Bard


Fall 2022 marked fourteen years of operation for Al-Quds Bard College for Arts and Sciences, an innovative program introducing a liberal arts education to the West Bank, with an enrollment of approximately 330 undergraduate and graduate students in 2021-2022. AQB is a unique academic partnership between Al-Quds University in Jerusalem and Bard College in New York, conferring US- and Palestinian-accredited dual degrees to its graduates.

The undergraduate program at AQB is rigorous, culminating in a two-semester independent senior project, and the Master of Arts in Teaching (MAT) program likewise requires advanced study in the elected academic discipline (Mathematics, Biology, English, History, or Sciences) in addition to key education courses that challenge teachers to apply the results of research and pedagogical analysis to the actual work of teaching. In addition to the innovative, student-centered curriculum, Al-Quds Bard College is heavily involved in numerous international network projects through the Open Society University Network (OSUN) and other outreach programs across the region.

Essential Duties

Office/Administrative
  • Schedule logistics for program meetings and events, and draft meeting agenda and minutes as directed
  • Organize and maintain electronic AQB files and complete paper filing as necessary
  • Make approved travel arrangements for AQB staff and faculty
  • Draft visa and travel support letters
  • Assist in faculty and staff recruitment efforts by organizing and screening application materials
  • Assist in the drafting and/or review of letters of appointment in accordance with established AQB personnel policies and scales
  • Maintain a regular channel of communication with the Bard Human Resources Office regarding AQB recruitment, appointments, and benefits
  • Support the annual Fellowship application and appointment process
  • Maintain a regular channel of communication with the AQB Registrar, Bard Office of the Registrar, and Bard Publications Office to ensure the timely transfer of student registration, enrollment, and graduation data
  • Proofread and edit program documents including but not limited to donor communications, publication and website materials, the AQB Newsletter, and reports
  • Prepare documents and packages for mailing to Palestine, as necessary
Grant support and Finance
  • Support the drafting of grant proposals to both private and federal organizations, in collaboration with various constituents at Bard and Al-Quds Bard
  • Draft reports on program activities to various audiences, including donors
  • Draft concept notes and general fundraising materials highlighting AQB’s variety of programming
  • Coordinate with program manager and counterparts at AQB to maintain up-to-date records of project progress
  • Participate in drafting the necessary documents in anticipation of future internal program and external donor audits
  • Work closely with colleagues at AQB to support award activities and maintain records for all OSUN projects
  • Maintain tracker and calendar for all donor financial and narrative deadlines, including maintenance of shared Reporting Calendar with all annual reporting deadlines
  • Support the Program Manager in the drafting of quarterly budget progress reports for all funding sources
  • Coordinate with the Program Manager and the Bard Purchase Office to complete program purchase and payment requests
  • Maintain tracker for all payment requests (check, wire, transfer, exception pay)
Required Qualifications
  • Associate's degree, or equivalent training
  • Demonstrate excellent written and verbal communication; particularly well-versed in intercultural communication and able to adapt communication style when speaking and writing to non-native speakers
  • High level of competency in MS Excel and Word
  • Organized, efficient, and detail-oriented; flexibility to support fast-paced, high-impact international program
  • Experience working within higher education and/or international programs preferred
  • Knowledge and experience in budgeting and finance a plus
  • Enthusiasm for the mission of the College to support access to high-quality, student-centered liberal arts education
  • Enthusiasm for the mission of CCE
  • Fluent written/spoken English, and Arabic a plus. Multilingual skill is highly desirable, even if not in Arabic
