Job Summary/Basic Function:

Provides office support to on a number of alumni programs including but not limited to the Alumni Board of Directors, Alumni Mentor Program, Alumni Travel Program, Reunions/Fall Fest and Affinity events.

Works with multiple committees of the Alumni Board to create profiles on potential Alumni Achievement nominee and new Alumni Board Members. As the secretary to the Board keeping meeting minutes, Board web portal up to date and sets up all meeting logistics.

Approves all new members to the on-line networking platform(s). Oversees the entry of any new data within the platform(s). Provides data from the platforms to the Alumni Relations liaison to the Compass Curriculum committee to help identify alumni mentors.

Is the first point of contact for all inquiries as it relates to the Wheaton Travel Program. Insures all travelers have the correct travel documents, produces invoices and maintains the Travel website.

Works with members of the Alumni Relations team to provide event support on approx. 20-30 events each year, in addition, to supporting a number of Reunion classes each year.

Some duties may be complex and confidential in nature calling for independent judgment. Some evening and weekend work required.

Minimum Qualifications:

A bachelor’s degree and three years’ experience providing administrative support in a complex office environment, or equivalent combination of education and experience is required.

-Must be able to work with and rely on others, within team and division as well as outside volunteers.
-Strong skills in word processing, spreadsheets, and database software required.
-Must be comfortable and creative as a computer user, interested in using technology to streamline activities.
-Ability to adapt to changing technologies is essential.
-Ability to be flexible and to work additional or varied hours as needed during peak periods.

Must have excellent interpersonal and relationship building skills to be able to interact with and support a diverse community.

Preferred Qualifications:

Experience working in an educational environment is also preferred.
