Job Summary

Counseling and Psychiatric Services (CAPS) at the University of Colorado Boulder encourages applications for an Administrative Assistant II! This role is responsible for providing a broad range of administrative support functions. Duties include answering phones, scheduling appointments, providing customer service to students, entering patient information into the electronic health record, and assisting with front office needs and projects.

What Your Key Responsibilities Will Be

Office Operations
  • Complete daily front office operations, including answering phones, directing callers, scheduling and updating computerized appointments/schedule, and answering financial and logistical questions for a variety of mental health services.
  • Greet and check-in patients in-person or virtually, with particular emphasis on creating a warm, welcoming and safe environment with responsive, high quality, confidential customer service for CAPS clients.
  • Advise students about covered services and services offered at CAPS. Help students navigate scheduling and answer questions as needed.
  • Establish relationships with CAPS staff, offering support to counselors related to client flow and office operations.
  • Manage end of the day duties for transferring communication systems over to after-hours services and closing the office.
  • Provide cross coverage to different clinic locations as needed.
  • Enroll and/or refer students to appropriate groups, workshops or other campus offices.
Records Management
  • Process documents that require scanning into the patient’s electronic medical record (EMR).
  • Work with multiple software platforms including Medicat, Microsoft Office, and Google Apps.
  • Maintain appointments and related data (checking client history, appropriate coding of appointment reservations and blocks, scanning schedules for errors or omissions, checking on provider appointment times).
Projects
  • Set-up provider's schedules on MediCat each new semester and share feedback to the Lead's Team on urgent needs regarding scheduling modifications, based on patient's needs and demands throughout the year.
  • Minor cleaning in accordance to Health and Wellness directives and CDC guidelines for optimal clinical hygiene and safety.
What You Should Know
  • All University of Colorado Boulder employees are required to follow the campus COVID-19 vaccine requirement . New employees must provide proof of vaccination or receive a medical or religious exemption within 30 days of employment.
  • This position will be fully on-site and will work Monday - Friday for 8 hour shifts during regular business hours.

What We Require

Two years of experience in an occupational field related to the work assigned to the position. Appropriate education will substitute for the required experience on a year for year basis.

  • Strong work ethic, dependability, team-orientation and be highly accountable and responsible.
  • Computer skills.
  • Passion for assisting students in a mental health capacity.
What We Would Like You to Have
  • Demonstrated customer service experience.
  • Associate's or Bachelor's Degree.
  • Experience with EMR systems, Microsoft and Google Applications.
