A successful candidate will play an active role in FMU's existing academic and operational success. The Human Resources Administrative Assistant (Part-time) shall have the primary responsibility for supporting the Office of Human Resources and its overall day-to-day responsibilities, duties & special projects/events. . This customer-centric role will provide administrative efforts, employment research, and development, establishing and adhering to all University policies, procedures, and Local, State, and Federal Laws. An accomplished HR professional will be someone who can facilitate regulatory compliance to help our organization maintain an excellent reputation.

Essential Functions :

A Human Resources Administrative Assistant (Part-time) is responsible for providing administrative support to other HR professionals by documenting staff changes, and employment verifications, reviewing performance reports, scheduling onboarding tasks, keeping the department organized, and managing communications for the HR department
  • Provide day-to-day administrative support: phone calls, messaging, ordering supplies, and maintaining records management database systems.
  • Manage department calendars, emails, and business numbers, prepare correspondence, receive visitors, arrange conference calls, schedule meetings for the department, assist with benefit administrative tasks, and distribute checks.
  • Maintains accurate and up-to-date human resource files, records, and documentation (hard and soft copies).
  • Assist in the coordination of employee activities and events, meetings, training, and surveys as well as any support needed during the activities or events. Ensures required staff and materials are available and prepared for events or activities.
  • Deal with and/or organize follow-ups regarding employee requests regarding human resources issues, rules, and regulations.
  • Auditing & completing verification of employment upon request, and submission of DEO claims.
  • The omission of specific duties does not preclude the supervisor from assigning duties that logically relate to the position.
Required Knowledge, Skills, and Abilities
  • Ability to handle information of sensitive and confidential nature in the utmost professional manner. Demonstrate a high level of professionalism, initiative, resourcefulness, and personal accountability.
  • Maintain the privacy and confidentiality of information, protect the assets of the institution, act ethically and with integrity, and adhere to FMU’s Code of Conduct and policies and procedures.
  • Effective analytical and decision-making skills. Excellent communication (oral and written), organizational, and time management skills. Effective interpersonal skills and ability to work with diverse constituents.
  • Attention to detail and adaptability to a changing environment is extremely important as well as dependability.
  • Manage, prioritize, and accomplish multiple tasks/projects simultaneously in a deadline-driven environment.
  • Moderate physical activity. Requires handling objects of average weight up to fifty (50) pounds or standing and/or walking for more than four (4) hours per day.
Qualifications
  • The position requires an associate degree with employee relations, human resources, training, and/or development experiences directly related to the duties and responsibilities specified. Administrative experience in higher education is preferred.
  • Proficiency in MS Office Suite, and LinkedIn Learning, as well as knowledge and understanding of the organizational structure, workflow, and operating procedures. Familiar with the Jenzabar technology suite for higher education.
  • Flexibility to work outside of normal business hours, and ability to maintain a flexible work schedule that may include working nights and weekends.
  • Pre-Employment screening is required: criminal background check and drug testing.
