Summary/Objective

This position organizes the administrative agenda of the first year legal research and writing program (“Legal Rhetoric Program” or “Program”), which services approximately 450 students annually. Under the supervision of the Director, the incumbent develops administrative systems necessary for this Program. Besides aiding the Director, the incumbent will assist the six full-time Legal Rhetoric professors, 20-30 adjunct faculty, and approximately 40 Dean’s Fellows on day- to-day operations and special projects related to the Program, including the administrative tasks necessary to support coordination of and maintain effective communication with adjunct faculty. This position will maintain relevant databases and webpages. The position requires a thorough knowledge of Program policies and procedures and excellent organizational, writing, and communication skills.

Essential Functions
  1. Office Management: The incumbent is responsible for the management of all administrative aspects of the office including the establishment and maintenance of databases, including assessment records and records involved with the coordination of and communication with adjunct faculty. Supervises the timely preparation and distribution of course materials, grade sheets and rosters used by the Director.
  2. Assistant to the Director: The incumbent provides support to the Director. Facilitates effective communication between the Director, Legal Rhetoric professors, adjunct professors, students, other WCL faculty/staff, and members of the legal community. Manages the day-to-day operations of the office, processes reimbursements, and screens and directs incoming phone calls and mail. Schedules classrooms, courtrooms, workshops, and events using EMS system.
  3. Student, Employer and Faculty Services: Incumbent responds to inquiries from students regarding Program policies and procedures. Serves as liaison to adjunct faculty. Arranges media/recording services for instructors as needed. Assists with coordinating a fall semester Legal Rhetoric exam. Provides training, supervision, and allocates work to the Administrative Assistants. Provides continuous office coverage during school day, including evening program.
  4. Special Projects: This position plans, coordinates and provides administrative support for conferences, meetings, and other major events sponsored by the Program. Works with other departments and staff of WCL. The incumbent is responsible for producing internal and external materials, brochures etc. that promote and support other Legal Rhetoric programs. Other duties as assigned.

  • Supervises one part-time evening staff.
Work Environment
  • This position reports directly to the Director of Legal Rhetoric, along with five full-time Rhetoric instructors, 30 adjunct faculty
  • This position will supervise one part time Administrative Assistant
  • The position designs and manages all administrative aspects of the Legal Rhetoric programs
  • Incumbent works with the Director, at least five Writing Instructors, 30 adjunct faculty members, 30 Dean’s Fellows and approximately 500 students enrolled in the Legal Research and Writing program
  • Position processes purchase orders and invoices and deals with various aspects of a yearly budget of $400,000. Incumbent interacts with all departments and staff levels at both WCL and the University

Required Education and Experience
  • Bachelor's degree or equivalent.
  • 2-4 years of relevant experience.
  • Previous experience in administration of similar academic programs and in a legal environment highly desirable. Strong interpersonal, communication, planning, and organizational skills a must. Knowledge of common office computer and web-based applications required, such as Microsoft Word, Excel, and Publisher.
Preferred Education and Experience
  • Working knowledge of Canvas (or similar learning management systems), EMS room reservation system, and Datatel highly desired.
  • 3-5 years of work.
