POSITION SUMMARY
This position provides a variety of clerical and secretarial duties; provides professional, effective and efficient customer service assistance to students, faculty, and college personnel. Considerable judgment, initiative, and occasionally independent action in adapting work procedures to new situations are required. Work requires knowledge of the policies and procedures within the Department and College, reliable transportation and valid driver’s license, and ability to speak Spanish fluently.

ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES:
1. Serve as receptionist, front-line information dispenser; receive and direct visitors and students to appropriate offices, resources or classrooms.
2. Handle phone calls, take and relay messages; receive incoming faxes and electronic messages and direct to proper parties; process requests for information appropriately and provide requested information to public.
3. Register participants; assist with data input and processing.
4. Assist participants in the completion of intake and assessment activities; refer to appropriate DAEL staff for services.
5. Perform data entry and create/maintain student and other files.
6. Assist in the reproduction and mailing of promotional materials. Prepare mailings for distribution.
7. Open and close selective facilities as required, maintain cleanliness and general appearance of facilities.
8. Perform related duties as may be assigned.

MINIMUM QUALIFICATIONS
1. High school diploma or equivalent.
2. Familiarity with computers and Microsoft office products including Word, Outlook, and TEAMS
3. Ability to perform multiple tasks simultaneously; attentiveness to detail, strong organizational skills, and initiative.
4. Must have reliable transportation and valid IL driver’s license.
5. Ability to establish and maintain cooperative and effective working relationships with other members of the college and community, displaying cultural competence as well as emotional intelligence.
6. Demonstrated commitment to the college’s core values of respect and inclusion, sustainability, integrity, collaboration, humor and well-being, innovation and quality.

PREFERRED QUALIFICATIONS
1. Associate’s Degree
2. Strong computer skills and a thorough knowledge of several software applications including Microsoft Office and Excel.
3. Strong verbal and written communication skills, and ability and willingness to work cooperatively with diverse population of first generation and/or low-income students.
4. English and Spanish verbal and written communication proficiency.
5. Demonstrated multicultural competence.

WORK SCHEDULE
1. Work hours will be between 8am-4:30pm Monday through Friday.

PHYSICAL DEMANDS
1. Normal office physical demands.
2. Ability to travel between campus locations and to and from community events and class sites.

WORKING CONDITIONS
1. Duties are performed indoors in the usual office and/or outdoor environment
