Job Description Summary

Responsibilities include processing payroll, maintaining time and attendance records, reviewing payroll and payroll reports for accuracy. Work collaboratively across departments to ensure data integrity, compliance with policies and procedures.

Minimum Qualifications

EDUCATION
  • One to two years of college credit (30 credit hours are equivalent to one year) in accounting, business, or related field required.
  • Associate’s degree preferred

EXPERIENCE
  • Three years of job (payroll) related experience or formal training/certification.
KNOWLEDGE, SKILLS AND ABILITIES
  • Excellent attention to detail skills.
  • Exceptional mathematical and calculation skills.
  • Verbal and written communication skills.
  • Ability to work independently as well as team oriented.
  • Knowledge of payroll, garnishments and benefits distribution.
  • Working knowledge of wage & hours laws and federal and state tax withholding requirements.
  • Ability to address students, faculty and staff in a profession manner
  • Ability to analyze problems, recommend solutions and suggest process improvements.
Criteria

CRITERIA : The following criteria, which are not the sole criteria used in the final hiring decision, will be used to review the applications of those persons who meet the stated minimum qualifications and to select those qualified applicants who will be interviewed. Other information and observations made during the interview process may be considered in the selection process. A Resume/CV and cover letter are required with the application. ESSENTIAL DUTIES
  • Responsible for timely and accurate day to day payroll processing.
  • Enter and verify all payroll entries including plus adjustments, minus adjustments, tax and direct deposit data.
  • Process and maintain time and attendance hours, leave accruals and leave adjustments within the payroll platforms which includes Kronos and Colleague.
  • Complete full cycle payroll processes on a biweekly basis for two payroll runs according the current policies and procedures ensuring accurate pay, taxation and deductions.
  • Creates and transmits direct deposit files.
  • Transmits tax withholding payment to various tax agencies.
  • Creates and transmits positive pay files (manual checks).
  • Validate and prepare off cycle payroll runs as requested according to the off-cycle schedule.
  • Process wage garnishments and tax levies.
  • Calculate and process payroll adjustments for separation/termination.
  • Monitor payroll inbox and respond to employee inquires while maintaining confidentiality regarding all payroll data.
  • Prepare various pay calendars and pay schedules.
  • Assists with audit and reconciliations as needed.
  • Communicate and respond to inquiries from agency representatives for employee deductions.
  • Maintain a working knowledge of payroll compliance.
  • Performs related work as required.
Job Requirements

PHYSICAL REQUIREMENTS
Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to a, personal computer, calculator, copier, and fax machine. No significant climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions

OTHER REQUIREMENTS
  • Must be able to work Monday thru Friday, 8:30 a.m. – 4:30 p.m.
  • Ability to communicate effectively in spoken and written standard English.
  • As required by the 1986 Immigration Act, be prepared to present acceptable documentation showing your identity and that you are a U.S. citizen or an alien who is authorized to work.
  • A background investigation will be conducted prior to the offer of employment. A signed authorization for the release of personal information will be required if selected for an interview.
