Special Information

  • Travel related to programs could be approximately 6-8 weeks per year.
  • There will be expectation that the incumbent will also group lead or assist, periodically, on our multi-day/night travel programs depending on appropriate expertise.
  • This position is responsible for handling program issues as they arise and handling the on-call and after hour duties along with the Director and Program coordinators during weekend or evening hours. Always on a rotating basis.
  • Our program is a “all hands on deck” organization, so all staff are expected to pitch in as needed to ensure program success which may include extended hours, evening hours or weekend work.


Job Description

The Road Scholar program operates weeklong educational travel programs targeted to participants over the age of 50 as well as younger adult family members and children ages 9-13 from all parts of the United States. The NAU program operates 180 programs per year and has 27 distinct itineraries.

The Road Scholar Assistant Director position promotes efficiency and effectiveness within the organization and supports the vision, direction, and organizational initiatives. They will apply leadership skills and subject matter expertise to the operations team. The Assistant Director works with the Director in the development, facilitation, implementation, evaluation, and management of the Center including: coaching and mentoring, budgeting, overseeing communications to field staff, supporting human resource/payroll functions and managing special projects. This position ensures that Road Scholar programs are staffed with qualified, knowledgeable, prepared and supported field staff to create memorable travel experiences for program participants. The Assistant Director will oversee approximately 43 PT-Temp employees that lead, perform and provide program services for our NAU Road Scholar participants.

Staffing Logistics and Planning - 30%
  • Responsible for appropriately staffing all program itineraries and dates within appropriate timeframes before programs begin.
  • Maintains on-going communication with program staff about assignments, processes, policies, vendor information or general program updates.
  • Ensures operations team has access to correct and timely information about who is staffing each program.
  • Updates the operations manager and transportation coordinator to ensure they are aware of program needs for transportation, lodging, program materials, material staging and all needed program logistics related to staff working on a program.

Program Staff Supervision and Development - 25%
  • Monitor NPS (Net Provider Scores) Evaluation scores and provides appropriate, timely feedback to field staff after program conclusion.
  • Reviews post-program Group Leader reports and communicates to operations team members appropriate information about challenges and successes.
  • Regular communication to the field to keep everyone informed on program changes and news.
  • Coaches field staff as needed to improve NPS scores. Responsible for holding staff accountable through various processes.
  • Assists Program Coordinators in effectively coaching field staff related to their specific program details.
  • Applies knowledge of employee regulations, policies, and procedure, including delivering formal feedback, planning work, motivating employees, resolving conflicts and addressing performance issues for our Part Time field staff.
  • Regularly update the Director on staffing issues, address any concerns if needed.

Programmatic and Operational Support - 25%
  • Assist the Director to ensure overall operational success.
  • Responsible for on-call/after hours program support on a rotating basis.
  • Monitor the effectiveness and efficiency of overall program operations and recommends methods for continuous improvement.
  • Responsible for operations, as a backup to the Director, if they are unavailable.
  • Represents leadership as a subject matter expert in multiple areas of expertise directly related to the Road Scholar program.
  • Maintain on-going development of training materials related to job performance.Making sure to promote professional development opportunities available through other resources such as National Park Service, Grand Canyon Institute, Museum of N. AZ for example.

Payroll Processing - 10%
  • Responsible for comprehending and implementing NAU Payroll policies.
  • Effectively processes payroll on bi-weekly basis.
  • Monitors industry pay standards and makes recommendations to Director.
  • Communicates anticipated program work hours for program pay to field staff.

Human Resources Process Support - 5%
  • Recruits, hires and on-boards new staff ensuring they have completed all required trainings as well as instructing new employees on Road Scholar specific policy/practices.
  • Creates and maintains on-boarding documentation and record keeping.
  • Remains knowledgeable about HR hiring and staff policies and manages HR service tickets to completion.
  • Communicates changes to policy/procedures to field staff.

Other - 5%
  • Responsible for planning and implementation of annual staff meeting and training in August every year.
  • Assist in monitoring and responding to Customer service requests from Road Scholar National.
  • Other duties as assigned.


Minimum Qualifications

  • Bachelor's degree in a field appropriate to the area of assignment.
  • 2 to 4 years of management experience.
  • 3 to 5 years of relevant experience.
  • A combination of related education, experience and training may be used as an equivalent to the above Minimum Requirements.


Preferred Qualifications

  • 2-3 years experience working in a tourism industry or adult educational fields.
  • Must have a valid State of Arizona driver's license, clean driving record and ability to drive a University van.
  • First-Aid and CPR Certified. Applicant can attain this post hire.

Knowledge
  • Experience in supervising and mentoring a team of employees.
  • Proficient in coaching, giving feedback, resolving conflicts.
  • Knowledgeable in basic human resources practices.
  • Proficient in working with financial information.
  • Experience with program development and implementation.
  • Well versed in the interpretation of natural history, human history, geology, geography, and native culture of the Southwest.
  • Knowledge and experience in Group Tours, preferable in the Colorado Plateau and Southwest.

Skills
  • Excellent communication and interpersonal skills.
  • Detail-oriented self-starter with demonstrated ability to work independently and manage multiple projects and priorities to meet established timelines and challenging deadlines.
  • Familiarity with using apps on cellular devices.
  • Skills and experience with MS Word, Excel, Outlook and Teams.

Background Information

This position has been identified as a safety/security sensitive position. Therefore, per AZ Revised Statute, Northern Arizona University requires satisfactory results for the following: a criminal background investigation, employment history investigation, degree verification (in some cases) and fingerprinting. Salary

Salary range begins at $72,445. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.

Benefits

This is a Service Professional (SPF) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System or the Optional Retirement Program; 22 days of vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents. Service Professionals are hired on a contract basis, renewable each 6 months according to terms of the Conditions of Professional Service. Employees offered a position will be eligible for state health plans (including NAU's BCBS Plan). New employees are eligible for benefits on the first day of the pay period following their enrollment, after their employment date. Employees will have 31 days from their start date to enroll in benefits. If a new employee chooses the ASRS retirement option, participation in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, will begin on the first of the pay period following 6 months after the new employee's start date. New employees who choose to participate in the Optional Retirement Plan (ORP), which is an alternative to the ASRS plan for faculty and other appointed staff, will begin to participate on the first day of employment. Additionally, the long-term disability plan that accompanies the ORP will begin on the first day of employment.
