Job Description Summary:
Residential & Hospitality Services is one of eighteen departments reporting to the Division of Business Services. Consistent with the Business Services mission, our underlying philosophy is to provide our clients with high quality services in a fiscally responsible manner. Residential & Hospitality Services is a group of dedicated, innovative, and student-centered staff that oversee the on-campus living and dining, as well as conferences, programs and events hosted at Penn. The team works closely with other partners to provide students and guests with services that support living and learning at the University of Pennsylvania.
Conference & Hospitality Services provides professional expertise for conference, programs, and events hosted at Penn. By showcasing the impressive array of facilities and resources the University has to offer, we strive to make Penn a destination of choice for meeting and event planners. The department is also responsible for the oversight of residential operations, facilities, and support services to the many academic programs, sports camps, meetings and conferences happening on campus during the summer at PennServe as a strategic partner to the GM with all matters related to the portfolio of the department.
Job Description
The Associate Director Sales & Marketing Hospitality Services serves as a strategic partner to the General Manager of Hospitality services with all matters related to the portfolio of the department i.e., summer camps, conferences, programs, and guest accommodations. This position will have full oversight of the systems that support the operations which include client web registration, bed spaces, conferences, and user access, for all of Hospitality Services. This position works closely with the Program, Technology and Finance Teams in achieving the department's financial and customer service goals.
Hospitality Services Administrative Responsibilities:
- Responsible for the utilization of the StarRez - Summer
Programming software
- Salesforce system used for event inquires and summer
conferences & programs
- Conference Programmer software for managing housing and bed
spaces for guests
- Train all student staff on the above technology
- Assist Finance with yearly and quarterly forecasting
Conference & Program Management:
- Maintain, generate and manage new contracts/business for
Hospitality Services.
- Provide event related support for HS programs through the
planning, implementation, and evaluation of the overall operations
for HS.
- Working in partnership with university partners and external
vendors that provide services needed to deliver a positive
on-campus experience for our students and guests throughout the
year.
- The role oversees guest arrival and guest services, supervises
student employment and training processes and manages various
operational database systems.
Campus Partner Relations:
The incumbent works in partnership with University partners (e.g. Residential Services, Parking) and external vendors (i.e. catering, print collateral production) to ensure service delivery that provides a positive on-campus experience for our students and guests.
The position will have at least one full-time employee reporting to them focusing on delivery of services the department is responsible for including: Conference Services, Dining (Residential, Retail, Catering, Vending) Summer Housing, Guest Accommodations, and the University Club.
Qualifications
A Bachelor's Degree and 5 to 7 years of progressive leadership experience within a University auxiliary services setting (e.g. housing, dining, conference services), or an equivalent combination of education and experience, are required. Demonstrated experience effectively leading the delivery of high-quality customer service to a diverse group of clients. Ability to manage operational systems and databases. Excellent skills in oral, written, interpersonal communications and fiscal management decision making. Demonstrated ability to plan and manage projects simultaneously and to work independently. Team leadership and supervisory experience. Ability to work collaboratively with students, administration, business and community leaders. Knowledge of and support for sustainable practices; LEED or similar certification highly regarded.
The Department of Residential and Hospitality Services provides essential 24/7 services for the University of Pennsylvania. Thus, as a member of this dynamic organization, you will be expected to work outside of your regular shift i.e. weekends during peak activity periods May through August (e.g.: Summer Conferences, Summer Camp Season & Move-in) or when normal campus operations are suspended (e.g.: inclement weather). To the extent possible, managers will provide timely notice of modified work schedules.
Targeted Pay Range: $51,824 - $75,000
This Targeted Pay Range is only applicable to this job posting. All salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.

Hybrid Eligible - This position is eligible for a hybrid work schedule with a work week divided between working onsite and working remotely.
