Job Description:

This position will be responsible for identifying, recruiting, matriculating, evaluating, and following after graduation prospective and current UF MD-PhD Scholars in the UF MD-PhD Program. This position will represent the UF College of Medicine and the UF MD-PhD Program in both live and virtual communications with students from UF, Florida, and nationwide who may be interested in MD-PhD training at UF. This Coordinator position will support the UF MD-PhD Recruitment and Selection Committee to encourage and facilitate these candidates' applications, review, interview, and final decision to matriculate into the UF MD-PhD Program upon offer of a position. This position will work with the UF MD-PhD Evaluator to collect information on the Scholar's progress toward meeting all the requirements of the UF MD-PhD Program, in addition to those from the MD and PhD degrees. This position will work with the MD-PhD Data Manager to collect and keep current career performance information of graduating Scholars for at least 15 years, per the MD-PhD Evaluation Plan. The MD-PhD Program Coordinator for Recruitment, Evaluation, and Follow-up will join monthly meetings with the MD-PhD Directorate and MD-PhD Scholars and will coordinate meetings between the Directorate, Scholars, and PhD Mentors. There will be cross-over duties with the MD-PhD Program Coordinator.

Marketing, Outreach, and Recruitment
Support the Director and members of the Scholar Recruitment and Selection Committee.
Establish and maintain the professional interface between all prospective and current MD-PhD Scholars including prompt response to inquiries and requests about the UF MD-PHD Program, preparing and sending electronically or by mail all explanatory materials (brochures, program descriptions, etc.). This includes the development of these recruitment and marketing materials in collaboration with UF HSC graduate school marketing staff and the UF CTSI Communications Team.
Coordination and organization of MD-PhD candidate interviews during the “interview season”, including the scheduling of Q+A sessions with Program Directors for prospective applicants to the UF MD-PHD Program.
Collections of CV, research material, and AMCAS documents for review by the Recruitment and Selection Committee and UF MD-PhD Directors, including review of application materials for completeness.
Prepare, file, log in, and mail Offer Acceptance Letters to successful applicants.
Coordinate and organize the “second visit” session for successful applicants to ensure a high rate of acceptance of offers and matriculation into the UF MD-PHD Program.
In collaboration with the UF CTSI Communication Team, create, design, and keep up-to-date the UF MD-PHD Program website, and other multimedia items as needed, as a critical first step in UF MD-PHD Program marketing and recruitment.
To create and sustain communications between the UF MD-PHD Program and other universities which have traditionally served underrepresented groups (e.g., Historically Black Colleges and Universities) considered to be a “pipeline” for Scholars from underrepresented backgrounds. This includes travel and attendance at SACNAS, ABRCMS, and/or other minority-serving student organizations or conferences, and scheduling/hosting tours for program leaders from UF and other universities and secondary schools from across Florida.
Working with the UF CTSI Fiscal Assistant III to identify available funds for recruitment and marketing.

Evaluation of UF MD-PHD Programs
To provide the UF MD-PHD Evaluator with information required to ensure completion of materials by the individual scholar and the UF MD-PHD Program as a whole.
Systematic monitoring of medical students and graduate students to ensure accomplishment of predetermined milestones.

Follow-up of MD-PHD Scholars after Graduation
Develop a database to facilitate follow-up of UF MD-PHD Scholars for at least 15 years as required by NIH T32 grants including Scholars graduating prior to 2019.
Coordinate with Data Manager and the UF CTSI Communications Team to use direct contact on social media to keep in contact with graduated Scholars.

Other Duties as Assigned
To fill in for the Program Coordinator for Operations, Training, and Services during times of vacation, illness, and other absences.
Active participation in the preparation of application for NIH grants, including the MD-PHD T32, and F30 and other trainee funding mechanisms, as well as foundations and other nonfederal funding organizations.


Expected Salary:

$50,000-$60,000 commensurate with education and experience

Minimum Requirements:

Bachelor's degree and three years of relevant experience; or an equivalent combination of education and experience.

Ability to work extended or odd hours as required for events that take place outside daily and weekly work hours (e.g., MD-PhD interview days and Md-PHD Scholar events.)
