Job Description:

The Biomedical Informatics Program (BMI), hosted within the Department of Health Outcomes and Biomedical Informatics and closely affiliated with the Clinical and Translational Science Institute (CTSI), engages in diverse informatics research and service across the University of Florida (UF). Service initiatives include, but not limited to, supporting the informatics infrastructure for the University of Florida Health system, the CTSI, the OneFlorida+ Clinical Research Network, and the University of Florida Health Cancer Center (UFHCC).

We are seeking an enthusiastic and expert administrative professional to fill the role of an Administrative Specialist III in primary support of the Chief Data Scientist of UF Health in their role as the Director of the Cancer Informatics Shared Resource program and Associate Director of BMI. The Administrative Specialist III will be a highly responsible, professional, and capable individual who can work independently with minimal supervision to establish priorities and deadlines, initiate action, and exercise good judgement in diverse situations. This position will work with a large team and requires a high level of organization, attention to detail, excellent time-management, and excellent communication. Because much of the work will occur in a research setting and in support of a C-level role, this person will perform confidential and non-routine administrative duties. This person may act on the Chief Data Scientist's behalf with delegated authority.

Duties to Include:

Oversees the provision of administrative services to and the resolution of problems and inquiries for the Chief Data Scientist of UF Health in their role as the Director of the Cancer Informatics Share Resource program and other diverse roles and responsibilities. This includes, but is not limited to, calendar management, coordination of travel arrangements and reimbursements, and purchasing.

Serves as a contact and liaison to the public and other university departments for the Chief Data Scientist; communicates with program faculty, program teams, and other Institute, Department, and University leadership, faculty, and staff; sponsors; and other external constituencies.

Conducts special projects or participates in interdepartmental workgroups.

Directs event planning and coordination, including but not limited to: meetings, lectures, lecture series, workshops, short courses, and conferences (onsite and offsite).

Assists with the preparation, maintenance, and management of Curriculum Vitae, biosketch and other support documentation.

Monitors budgets and coordinates budget preparation.

Develops policies, procedures, processes, and workflows.

Coordinates with IT staff to develop resources in response to technology needs or to resolve problems.

Interprets federal and state laws, rules, regulations, University and department/college policies and procedures related to travel and purchasing and ensures compliance.

Disseminates information to unit and serves as an expert resource for databases, websites, word processing, reporting, policies, and procedures.

Compiles data, conducts research, performs independent analysis, and formulates recommendations on administrative matters.

Researches, prepares, and writes reports, presentations, event materials, and articles.

Expected Salary:

$60,000 to $70,000

Minimum Requirements:

Bachelor's degree and five years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:
  • Strong proficiency in Excel, Word, Powerpoint, Adobe, and web navigation tools and programs
  • Proficient in scheduling tools, such as Doodle, WebEx, Zoom, Teams
  • Processes large quantities of detailed information with high levels of accuracy.
  • Productively balances speed and accuracy.
  • Anticipates colleagues' needs and satisfies them proactively.
  • Identifies and documents specific problems and resolution alternatives.
  • Resolves complex complaints or problems.
  • Communicates well downward, upward, and outward in English, both orally and in writing.

  • Responds to shifting priorities while maintaining progress of regularly scheduled work

  • Develops an effective working relationship with each team member.
  • Shows respect for differences and diversity.
  • Learns new concepts, processes and tools applicable to the needs of the entire unit.
