Job Summary

The Administrative Assistant of the School of Education and Psychology will assume the duty of clerical and administrative support to optimize the workflow procedures for the department.

Essential Job Functions
  • Compose and prepare error-free letters, memorandum, reports, publications and presentations
  • Create flyers, brochures, meeting agendas, sign-in, sheets and catalog related to Department of Education and Psychology activities and programs.
  • Maintain filing systems both hard copy and electronic in an easily accessible and retrievable manner
  • Make travel arrangements including preparing travel requests, and reimbursements
  • Prepare and maintain travel tracking system
  • Answer telephone and handle calls, if knowledgeable
  • Perform other clerical duties including photocopying, faxing, and mailing
  • Record, transcribe, finalize and distribute minutes of meetings
  • Arrange appointments and meetings
  • Work cooperatively and maintain a positive relationship with all faculty/staff and students
  • Prepare Purchase Requisitions using University Banner system
  • Provide overall administrative support required to implement departmental mission
  • Maintain department inventory of equipment and supplies
  • Attend staff conference when requested
  • Serve on committees
  • Attend and participate in work-related training workshops
  • Adhere to office hours and policies and procedures as set forth by the Department of Education and Psychology and Alcorn State University
  • Maintain the confidentiality of student/faculty/staff files
Qualifications
  • High school diploma; Bachelor’s degree preferred in secretarial science, business administration, or office administration.
  • Three to five years of secretarial experience required
  • Will consider applicant with any combination of education, training, and/or experience equivalent.
