Additional Qualifications and Skills

Progressive experience in the field of alumni relations/volunteer management and event coordination, preferably in higher education and/or development settings.

Demonstrated experience managing complex events that involve multiple stakeholders; influencing without management authority; building consensus; and developing and tracking goals and metrics to measure event success.

Commitment to delivering excellent customer service, the ability to work collaboratively, and comfort working with ambiguity.

Excellent organizational, interpersonal, problem-solving abilities. Ability to establish professional working relationships and interact effectively with diverse groups having competing interests and priorities within the university and community.

Strong written, verbal, and interpersonal communication skills, including skill to produce information that is appropriately presented and effectively received by target constituencies.

Proficiency with technology, particularly familiarity with Microsoft Word, Excel, PowerPoint; proficiency with Zoom and all its capabilities; and CRM databases

Position Description

In conjunction with the Senior Director of Global Outreach and the Senior Associate Director of Alumni Relations and Events, plans, develops, and implements strategies for alumni-specific programs, events, and activities including, but not limited to, GSAS Alumni Day, bi-annual meetings of the GSAS Alumni Council, the Centennial Medalists Award Luncheon, departmental reunions, virtual events, and domestic and international events that engage alumni with the intellectual content of GSAS; and collaborates with internal GSAS departments to provide event and logistical support for GSAS Welcomes events, Admitted Students Day, Harvard Horizons, DGS retreats, and other GSAS internal events, including those for admissions, financial aid, diversity recruitment, student affairs, and fellowships.

Manages the GSAS Virtual Coffee Program, including coordinating outreach to alumni and students, collecting and tracking participant responses and data from Qualtrics, analyzing volunteer profiles and determining all matches. Serves as the liaison between alumni and student matches, coordinate schedules, create Zoom meetings and survey for post-meeting feedback.

Builds and manages Commencement website and registration form, manages the fulfillment of 700+ individual ticket orders and oversees staffing of the ticket distribution tables. Serves as main point of contact for Commencement vendors, venues, spaces, and technical services, and provides on-site logistics management at all Commencement activities.

Manages content, data, and distribution of Alumni Bulletin e-newsletter 6x year. Research and curate 4-5 alumni and student stories and write copy to feature in each issue; builds and designs email newsletter in Salesforce; pulls updated distribution lists per sends, and prepares and sends final newsletter to alumni. Creates and manages all alumni email broadcasts. Works directly with central Alumni Affairs and Development team to create and update e-mail templates for the bulletin and all other broadcast emails.

Manages career-focused events including, but not limited to, Leveraging Your PhD event, divisional networking dinners, Firsthand Advisors marketing and recruitment, and alumni-to-alumni career programs.

In conjunction with the Senior Director of Global Outreach and the Senior Associate Director of Alumni Relations and Events, supports the work of Council committees, forges relationships with Alumni Council members, and plans and executes assigned aspects of Council meetings.

Works with the Office of Academic Programs to recruit and train alumni to participate in student recruitment efforts.

Creates analytical and demographic data reports on alumni registrants and attendees for each event to inform strategic planning for future events and programs. Works directly with Alumni Development Services to track and update alumni attendance data in Advance.

Manages and delegates tasks for our student worker throughout the academic year and our temporary staff throughout of the year.

Works closely with the Office of Career Services, the Office of Student Affairs, Commencement Office, University-wide alumni relations offices, Harvard Alumni Association, FAS Development, and academic departments (as relevant) to facilitate connections between alumni and current students to provide engagement opportunities which include, but are not limited to: alumni gatherings, Commencement, career advising, career development and mentoring programs, and student engagement.
