Position Purpose

In support of Dartmouth’s Alumni Relations mission, the Alumni Engagement Coordinator provides administrative, programmatic, and customer-focused support to volunteer engagement efforts including but not limited to support of the Alumni Council, data management around annual report process and regular data entry, coding, and list-pulling; financial management and coordination with alumni organization treasurers; budget financial reconciliation and expense reports, responding to and triaging inquiries, and providing staff and volunteer support to ensure the smooth operation of the department.

Required Qualifications - Skills, Knowledge and Abilities

* Three years of office experience with high degree of autonomy in a complex setting
* High level of initiative and attention to detail, with ability to maintain flexibility in a changing, fast-paced work environment and to work both independently and as part of a team
* Excellent communication and interpersonal skills; excellent customer service orientation
* Good judgment and ability to interact with a diverse group of people internal and external to Dartmouth
* Strong organizational skills, including ability to prioritize projects and work independently
* Discretion and confidentiality with donor-related and personal manners
* Ability to work occasional events outside of regular business hours

Preferred Qualifications

* Skill in the use of Microsoft Office, Sharepoint, QuickBase, iModules, and relational databases
* Experience working with volunteers or in a customer service environment

Key Accountabilities

Description

Manages operations for Alumni Council leadership and honorary degrees committees, including facilitating confidential process for the nomination of alumni trustees and monitoring and synthesizing alumni sentiment to report to high-level College audiences. Partners closely with trusted volunteer leaders across the alumni body on visible projects and communications.

Description

Facilitates operational support for staff and volunteers through the Volunteer Engagement team including working with volunteer organizations around communications, programming, data, governance, and other best practices. Works with the team to meet strategic priorities and support alumni engagement activity. Coordinates responses for volunteers and alumni. Regularly interacts with volunteers and alumni.

Description

Responsible for the annual report process for alumni organizations and the related data management. Codes and updates volunteer data and pulls alumni lists and other necessary reports. Works with Advancement and campus partners to manage alumni data. Provides reporting for volunteer metrics and analysis to department leaders and others as needed. Supports the mailing of financial-related mailings for the Volunteer Engagement team.

Description

Interacts with a wide range of internal and external constituents and staff members. Handles confidential information, exercises discretion concerning its disposition. Interprets, applies, and explains department and College policies and procedures to internal and external constituents and serves as an initial point of contact for Alumni Relations visitors. Independently provides customer service support for callers and visitors, directing to individuals or teams as necessary. Manages student workers as required.
