Job Description:


The Student Engagement Office (SEO) provides a comprehensive student life program by creating a vibrant campus community characterized by a strong commitment to equity and belonging for students with diverse identities including first generation college students, students of various racial, cultural, and ethnic backgrounds, students from low-income families, students from rural communities, students with disabilities, LGBTQ students, and non-traditional adult learners. The full-time Administrative Assistant I provides administrative support to the Assistant Dean/Director of Community Standards, the Coordinator of Student Engagement and for student clubs and organizations.


  1. Perform administrative tasks associated with Student Engagement including monitoring and responding to emails and voicemails, making student appointments, submitting 25Live requests, CAMIS requests, catering and office supply orders, and updating the 4Cs community regarding upcoming SEO events, as needed.
  2. Assist with support to student clubs, organizations, club advisors and individual students. Maintain updated SEO records to ensure compliance with the SEO Student Handbook policies.
  3. Provide support to the Coordinator relative to aspects of student activities and events (e.g., ensuring remote participation, organizing student registration, providing pre- and post- reports, etc.).
  4. Provide administrative support to the Assistant Dean/Director of Community Standards including scheduling and coordinating appointments relative to the Student Code of Conduct and Student Grievance Process.
  5. Support Coordinator and Assistant Dean with SUCCESS Fund student level data tracking and semi-annual reporting.
  6. Other duties as required to support the Division and the College.



1. Two years of full-time or equivalent part-time experience in office management, office administration, business administration or business management, or any equivalent combination of the required experience and the following substitutions:
i. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.*
ii. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience. *
*Education toward such a degree will be prorated based on the proportion of the requirements completed. NOTE: Educational substitutions will only be permitted for a maximum of two years of the required experience.
2. Strong organizational and communication skills.
3. Enthusiasm for working effectively with a diverse population of students, administrators, faculty, and the public.
4. Commitment to working with minoritized students and advancing racial justice.
5. Ability to handle multiple tasks simultaneously and adhere to deadlines with attention to detail and accuracy.
6. Knowledge of Windows-based software and PC functions, including proficiency with Microsoft Office, including Word, Excel, PowerPoint, SharePoint and Outlook.
7. Ability to work as a team member.


Experience working with Jenzabar or other student information system.

Additional Information:

COMPENSATION : $910.36/week, 37.5 hours/week; Grade 15, Step I. AFSMCE Unit Position that includes participation in a comprehensive employee benefits program. Candidates may qualify for placement above entry-level salary if currently employed in the state system.
