Job Summary

The CU Art Museum encourages applications for a Project and Business Manager ! This role provides high-level budgetary, financial, policy, and administrative support, engaging in long-term strategic planning that serves to promote the CU Art Museum’s mission and goals, and ensuring the Museum has adequate and suitable resources to complete its activities. The Project and Business Manager plays a key role in interpreting policies, regulations, and guidelines specific to the College of Arts and Sciences, the University of Colorado Boulder, and the State of Colorado. This position will also coordinate image rights with the Director, Head Collection Manager and Registrar, and will support publications and outward facing communications with vendors, Strategic Relations, donors, and visitors.

Reporting directly to the Museum Director, the ideal candidate for this role possesses excellent communication and organizational skills and can successfully manage multiple self-directed projects that may, at times, have competing priorities. This individual should have a solid background in fiscal administration, and a passion for museum operations.

What Your Key Responsibilities Will Be

Fiscal Oversight:
  • Advise the Director with monthly, yearly and multi-year budget planning to align spending.
  • Facilitate the evaluation and forecasting of departmental accounts on an ongoing basis to monitor the resources available for operations and special projects.
  • Collaborate and coordinate with other administrative offices as needed to manage implementation of new systems or ensure compliance with new university policies.
  • Authorize and conducts financial transfers between departmental accounts and outside units.
  • Support financial management of grants with Director and related staff.
Budgeting:
  • Provide oversight of all accounting and purchasing to ensure compliance with and ethical standards of approved budgets, policies, procedures, rules and regulations.
  • Review and forecast budgets for all accounts including working with the Director to plan and forecast funding for museum operations, and forecast income and expenses for research grants.
  • Monitor and report on gift fund accounts (speedtypes), purposes, and balances. Liaise with Advancement and Director on the state of these accounts.
  • Recommend actions to protect budgets, resolves deficits, and provide for unexpected or unique expenses.
  • Recommend when to open or close new or unused accounts, as well as transfer budgets, revenues, and expenses to best support the needs of the department.
  • Work with departments at the museum to monitor yearly departmental budgets, as determined by the Director to ensure fiscal responsibility throughout the museum.
Communication and Marketing Management:
  • Liaise with design vendors on design and production of print collateral including newsletters, CUAM Magazine, exhibition announcements, and membership communications.
  • Manage the image rights for CU Art Museum publications and social media in concert with the Head Collection Manager and Registrar.
  • Use Google Analytics to gather feedback regarding CUAM public portal usage to inform future improvements and projects.
  • Responsible for accessibility of CUAM online portal, in coordination with the Office of Equity and Compliance, as well as working with Norlin Library OneSearch and the Digital Public Libraries of America.
Administrative Support:
  • Manage and coordinate the usage of project management software.
  • Facilitate high-level project management of museum departments to ensure accurate resource and budget allocations.
  • Order departmental office supplies, program supplies and equipment.
  • Maintain a list of contacts of museum specific-vendors and manage vendor contracts.
  • Assist Head Registrar and Collection Manager with management of the collection database.
  • Schedule and renew departmental and individual professional memberships and subscriptions.
  • Engage in ongoing strategic development and maintenance of membership database.
  • Conduct ongoing Argus.net lexicon maintenance, updates, cleanup, term creation and organization in line with DEAI principles and for improved accessibility and reporting.
  • Contribute to accreditation efforts.
Relationship Management:
  • Act as the departmental liaison with Human Resources.
  • Serve as a Community Council staff representative.
  • Liaise with related budget offices including the College Budget Office, Financial Service Center (FSC), Procurement Center, Office of Contract and Grants, Bursars, etc.
  • Compile information requested by the campus budget office or others.
  • Support interactions related to grant management with foundations and organizations.
  • Participate in regional and national professional trade groups.
  • Support the museum during large events.

  • This position is assigned a hybrid work modality.

What We Can Offer
  • The salary range for this full-time position is $57,000 to $65,000 annually.

What We Require
  • Bachelor’s degree or equivalent combination of education and experience may substitute on a year-for-year basis.
  • 1 year of professional job related experience which may include managing budgets with multiple funding sources, project management, and/or experience in a non-profit arts and cultural organization.
What You Will Need
  • Excellent written and oral communication skills.
  • Proficient computer knowledge and skills with Microsoft Office products: Outlook, Word, Excel, Teams.
  • Proficient knowledge with project management software tools, methodologies and standard processes.
  • Strong analytical, problem-solving and interpersonal problem-solving skills.
  • Ability to communicate effectively both orally and in writing, in a diverse setting of professionals, administrators, faculty, and students.
  • Adept in managing multiple, complex assignments and effectively prioritize.
  • Ability to work independently to identify and address problems and issues.
  • Ability to handle sensitive information with high level of confidentiality and discretion.
What We Would Like You to Have
  • 3-years of progressively responsible experience managing complex finances in a museum, non-profit, or higher education setting.
  • 3-years of project management and related experience.
  • Experience working in an academic art museum.
  • Knowledge of Image copyright policy and law.
  • Experience working with PeopleSoft HR and Finance, Cognos, and/or similar platform.
