Overview: The Global Heal Program Assistant provides as-needed administrative coverage to the Global Health Programs Office and the School of Medicine’s Acute Care and Systems Strengthening (ACCESS) Program performing a variety of both routine and complex administrative duties. These duties range from administrative tasks such as scheduling briefings and meetings and maintaining program files, to more complex analytical tasks such as collecting, compiling, and collating data for various program documents, designing and maintaining spreadsheets in support of information tracking systems, and facilitating correspondence between internal VCU and extremal collaborators. The assistant will assist with the coordination and oversight of the annual ACCESS symposium. The Program Assistant ranks must be able to multi-task and prioritize administrative duties along with impending deadlines. The individual must develop a working knowledge of USAID and NIH policies and guidelines as well as corporate practices and procedures.

Responsibilities :
The Program Assistant’s time will be split between administrative tasks (approximately 60%) and programmatic or practical tasks (approximately 40%), and will require onsite management oversight and guidance.
  • Facilitates correspondence between the Global Health and ACCESS or other collaborators, and independent offices, ensuring that all documentation and correspondence meet deadlines, are complete, and are in compliance with USAID, NIH or other funders rules, regulations, and standards;
  • Supports the Program Director’s and Leadership with coordination of meeting requests, preparation and follow up;
  • Supports technical and managerial meetings;
  • Analyzes, organizes and formats technical information for use in briefings, presentations, publications and correspondence, ensuring consistency with USAID, NIH or other funders standards;
  • Maintains and provides assistance with administrative, information, and correspondence tracking systems, and designs and maintains spreadsheets and databases to support these systems;
  • Schedules meetings and events; support general logistics; maintain calendars, meeting setup;
  • Document minutes/notes of regular meetings, as required during journal clubs;
  • Ensures that schedules and deadlines are met;
  • Maintains correspondence and program files;
  • Grant development skills will include reviewing and distributing funding opportunities, assisting with grant organization and package preparation both for submission and internal regulatory review and communicating with the programs leadership as they develop proposals.

  • Excellent problem solving, organizational, time management, and interpersonal skills
  • Ability to interact successfully with students, faculty, administrators, staff, and visiting scholars
  • Exceptional customer service skills and a positive, helpful, service oriented attitude
  • Ability to provide clear written and oral communication
  • Ability to use standard office, procurement, and academic software

  • Bachelor's degree
  • Experience working in an academic medical center

Additional Information:

This is a restricted position with no set end date and continued employment is dependent upon project need, availability of funding, and performance.
