Department Summary

The University of Oregon is in the process of creating a shared services model for human resources across many areas of our campus. The Provost's Administrative Shared Services Team (PAST), a new shared service unit within the Office of the Provost (OtP) portfolio.

The Office of the Provost (OtP) upholds, provides leadership on, and carries out the academic mission of the University. In service to this mission, OtP promotes and sustains the highest standards in teaching, research, and service; fosters and advocates for faculty; promotes a respectful work environment, equity and inclusion, and a family-friendly workplace; supports and coordinates matters that pertain to faculty and academics, including hiring, retention, promotion, and tenure processes; and advances university outreach to the community, academic extension, and internationalization.

Within the Office of the Provost, the Provost's Administrative Services Team (PAST) will provide business and administrative services within the Office of the Provost portfolio. PAST provides high-quality service to a diversity of units in the Office of the Provost, in the areas of: human resources, budget and finance, payroll, purchasing, contracting, travel, accounts payable/receivable, and grants management. PAST will ultimately provide administrative services for several organizations within the OtP portfolio including, for example: Division of Global Engagement; Environment Initiative; Jordan Schnitzer Museum of Art; Museum of Natural and Cultural History; Office of the Provost; Sport and Wellness Initiative; Undergraduate Education and Student Success; and University Libraries.

The units supported by PAST constitute a large business enterprise consisting of more than 1,500 employees and total operating expenditures of more than $73.5 million, all funds. PAST itself is projected to have an estimated 16 FTE.
Position Summary

This position will manage multiple parts of the payroll process for the client units within PAST's portfolio. They will first be responsible to complete time entry for large groups of employees on a monthly basis. In addition, they will lead and oversee the portfolio's transition to the UKG payroll system that the institution is transitioning to. This will require in-depth project management, critical thinking, problem-solving, data entry, systems, and process work, as well as strong communication to client units throughout the transition process. They will be responsible to work with client units to advise them on decisions related to this transition, create a timeline for the transition, and create a project map that they will then enact to ensure a smooth transition to the new system.

Additionally, they will provide individual and larger group training on the new system. Ensuring a smooth transition, once completed they will be responsible for the ongoing maintenance of this new system.

On a regular basis, this position will complete monthly reconciliation, process payroll request forms, and other administrative tasks associated with multi-faceted payroll coordination. They must troubleshoot errors on timesheets, processes pay actions, such as stipends, pay increases, labor distribution changes, and final pay. They must ensure strong communication with client units and employees. Reporting to the Associate Director of Human Resources, this position will provide backup support to the human resources team as needed.
Minimum Requirements

  • Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR an equivalent combination of training and experience.

    One year of postsecondary education may be substituted for up to one year of the experience.

  • Proficiency with Microsoft Excel.
    Preferred Qualifications

  • Payroll experience in a large complex organization consisting of employee groups with differing guidelines, policies, and/or bargaining agreements.
  • Recent accounting experience in a higher education setting, or increasingly responsible accounting experience in a general office setting.
  • Experience with Banner or similar enterprise resource planning (ERP) software.
  • Experience working with and/or training in Kronos/UKG Ready time and attendance system.
