Job Details
Carnegie Mellon University’s Tepper School of Business is searching for an Assistant Director for Part-Time and Online MBA Programs. This is an excellent opportunity for someone who thrives in an interesting and challenging work environment. A full-time employee is needed to support our Part-time MBA Programs (PT Accelerated, PT Online Hybrid & Part-time Flex MBA). The program consists of weekly live online classes and an in-person component (Access Weekends). At the start of a “Mini” (half a semester) is an “Access Weekend” in which 300 students come to campus for three days (Fri– Sun) to participate in a series of co-curricular workshops and in-person required classes. There are 3-6 access weekends (remote or in-person) a year, with multiple schedules overlapping for three different cohorts at any given moment. In addition, this role supports other major events including BaseCamp Orientation, Graduation, and at least one travel weekend in summer 2023. During these multi-day events, the Assistant Director is responsible for ensuring a world-class experience for students, faculty and speakers, as well as supporting the overall operation of the program.
You will contribute to the department by providing essential support by coordinating and implementing events and logistics for Access Weekends and other major events. This individual may also advise PT MBA students and will act as a representative for many student support services. Lastly, this role will function as a liaison with the Tepper Admissions team supporting their incoming student yield activities as provided by the Director.
Your core responsibilities will include:
Planning/Project Management
- Program Planning – With oversight from the Director, ensure
multiple events held in Pittsburgh, sometimes outside of
Pittsburgh, are planned far in advance and in conjunction with the
academic calendar. Ensure that the project plan is updated and
progress is communicated to the team on a regular basis.
- Budget Support – Ensure that vendor activities are delivered on
schedule, on budget, and meet Tepper’s quality expectations. Track,
monitor, and report on spending to the Director. Identify potential
risks to budget and make decisions about vendors and spending to
avoid overages. Supports budget management of approximately
$800,000 and effectively finds opportunities for cost-savings
without diminishing student experience.
- Program Execution – Ensure the detailed execution and delivery
of programming during the in person events to enhance the
experience for students whose connection to their education is
primarily on-line. Serve as the On-site Project team to assure that
services are in place and lodging, catering and transportation
problems are resolved. Guarantee the smooth and on-time execution
of the agenda and program events by: Ordering program supplies to
include student gifts, corporate visit gifts, technology support
items, etc.; and maintaining supply orders and faculty
payments
- Process Improvement – Collect and measure feedback from
students and presenters, and incorporate the feedback into future
planning and program events. Adapt and scale processes and program
planning to meet the evolving needs of a growing program.
- Student Services Support – Supports Director and Associate
Director with student services activities
- Admissions Support – Supports the Director in coordinating
admissions related activities and events that increase admitted
student yield including PTMBA class visits, Admitted Student
Weekend, and on or off-campus events.
- PTMBA Student Newsletter – Creates and maintains PTMBA Student
Newsletter ensuring consistent and strong communication between the
PTMBA student body and PTMBA administration. Collects content from
PTMBA team, suggests content through Tepper current events,
showcases faculty and alumni profiles, works with other departments
and units to create newsletter.
- Working collaboratively and effectively with various
departments to include building operations, business operations,
admissions, university purchasing and other departments as
needed

You should demonstrate:
- Organization and planning skills
- Oral and written communication skills
- Analytical skills
- Bachelor’s degree required; Master’s degree preferred
- 1-3 years of relevant experience required
- PMP-Project Management Professional or Project Management
Institute, Inc. (PMI) certification is preferred
- A background in graduate level advising is preferred
- A combination of education and relevant experience from which
comparable knowledge is demonstrated may be considered.
- Successful background check
- Work Posture: This position is operating on a hybrid
schedule, with an on-campus/in office presence 2 days a week.
- You should be able to travel both domestically and
internationally and be willing to work outside of normal business
hours as needed.
- Typical work schedule is Monday-Friday from 8:30-5:00pm. An
alternate work schedule allowing for evening and weekend hours will
be required on occasion.
