POSITION SUMMARY

The Event Production Manager is the front facing representative for Green Center Events. This position is responsible for front-of-house, backstage, and box office management for performing arts events, as well as planning and executing performing arts events. This role is also responsible for executing the marketing plan for School of Music and Theatre events. The Event Production Manager oversees the ongoing care and maintenance of the piano inventory and the long-term planning for spaces and equipment.

Essential Functions Statement(s)

Marketing
  • In collaboration with the Director of Production, develop and execute a plan for marketing and publicity for Green Center events in collaboration with primary stakeholders.
  • Oversee and/create marketing deliverables including poster design, mailers, print and social media ads, radio promo's, and email outreach.
  • Collaborate with artistic collaborators; directors, university staff, student staff, and others as needed, for performing arts marketing needs.
  • Maintain online calendars and mailing lists for event marketing.
Front of House
  • Hire, train, evaluate, and supervise work-study staff for ushering, stage managing and box office operation. Oversee timecards for all production work-study students.
  • Establish and maintain staffing schedule.
  • Maintain the event ticketing software and website.
  • Manage and audit the Green Center Box Office. Set work schedules, policies, and supervise a Box-Office work-study staff of 10-15 students.
  • Manage front and back of house, as assigned. Set work schedules, policies, and supervise a front and back of house work-study staff of approximately 50 students.
  • Monitor work study and box office budgets.
Production Management
  • Collaborate on large-scale events (summer camps, workshops, institutes, etc.), as assigned, by preparing performance and rehearsal venues and overseeing set-up, tear-down, performer needs, and use of space. This may necessitate working weekday, evening, and weekend events.
  • Manage Green Center for the Performing Arts events, as assigned, by preparing venues, communicating with performers re: needs, etc. This may necessitate working weekday, evening, and weekend events.
  • Develop a weekly plan for event setups, technical needs, and staffing in conjunction with the Director of Production.
  • Monitor all event setup and technical requests, and delegate as appropriate.
  • Monitor spaces to make sure setups and crowd control meet with fire safety standards.
Artist Management
  • Assist in arranging lodging, transportation, catering, and itineraries for visiting artists.
  • Provide on-site support for guest artists, including hospitality and technical needs.
Equipment Management
  • Assist in setting long term goals for spaces and equipment with the Director of Production and ensuring that the timeline and benchmarks are met.
Administrative
  • Oversee event tracking and student attendance in Campus Labs to support the School of Music recital attendance requirements and the Gold Commitment
  • Assist with room booking for the Green Center.
  • Assist the Director of Production in contract creation and execution.
  • Maintain the Performing Arts Production Staff project management software.
  • Collaborate with the Director of Production to set priorities.
  • Advise on season calendar development.
Other duties as assigned.

Education: Bachelor's degree from an accredited college or university required; degree or comparable experience in music or theatre preferred.

Experience : Experience in Marketing, Box Office management or ticket sales desired. Experience in performance and/or artist contracting/management preferred.

Communication/Language: Basic: Ability to read, listen to and comprehend simple instructions, short correspondence, and memos. Ability to write and communicate simple correspondence.

Math Ability: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Computer Skills: Microsoft Office Suite, Google Calendar and Google Apps, and Online Data Entry. Experience with online ticketing systems is desirable.

Other Requirements:
  • Extensive organizational skills.
  • Must be available on some nights and weekends as events occur.
