We are seeking an Exam/Administrative Coordinator E. Baltimore Hub. Johns Hopkins University's Student Health & Well-Being portfolio supports disability services, health education, primary care and mental health services for JHU students and learners across all nine schools within the University. Student Disability Services (SDS) coordinates academic, housing, dining and transportation accommodations in accordance with applicable laws institutional policies and enhances understanding of disability as a cultural identity. Under the leadership of the Assistant Director of Student Disability Services, School of Nursing, the office provides a variety of services to School of Nursing, School of Medicine and Bloomberg School of Public Health graduate students with documented disabilities. Those services include overseeing student testing operations, safekeeping of confidential records, contact with students, families, faculty and staff and providing general information on the process for accessing accommodations.

Overall, the goal is to ensure all students with disabilities have consistently inclusive and accessible experiences at Hopkins. Overall, we seek committed, adaptable staff who enjoy working in a university climate that promotes cultural diversity, multicultural understanding, and social justice. The position will be based at the E. Baltimore Campus, but may have the ability to work remotely at times and infrequently travel to other campus locations. Experience working in a diverse and multicultural work environment is preferred. Flexible hours are required at key times in the academic year including evenings and weekends.

Primary duties are delivery of [testing] accommodations and communicating with students, faculty, and staff, including maintenance of multiple databases/spreadsheets, and resolution of sensitive matters responsibly. Must exercise independent judgment regarding privacy of student information through clear and concise written and verbal communication. Will coordinate other administrative duties as needed to include interpreting office and campus policies.

General Summary
  • The Exam/Administrative Coordinator provides exam coordination and administrative support.
  • Position will report to the Assistant Director of Student Disability Services, School of Nursing, but will manage exam accommodations and provide administrative support for the E. Baltimore Hub.
  • This position works with graduate students, faculty and other administrative offices to arrange exam accommodations for students with disabilities.
  • The position will also coordinate aspects of the SDS database, including running reports and inputting data to manage the exam accommodation process.
  • The position will also provide administrative support to the E. Baltimore Hub, including but not limited to purchasing supplies and hiring graduate assistants.
Specific Duties & Responsibilities
  • Communicate effectively and maintain positive, courteous, supportive, and professional working relationships with all levels of contacts.
  • Contribute to the customer service-oriented atmosphere within the department and help with other functional areas when needed or requested.
  • Assist with database implementation and suggested modifications to enhance workflow.
  • Manage the exam accommodations module in SDS online data management platform.
  • Send out reminders to professors and students about upcoming exams.
  • Work with professors to have Alternate Testing Contracts filled out in a timely manner.
  • Train and supervise Graduate Assistants related to test proctoring procedures.
  • Confirm and track communication with students, faculty, TA, staff and proctors.
  • Print copies of exams, safely store and catalogue exams to prepare for administering.
  • Locate and reserve additional testing locations for overflow students, and those requiring reduced distraction.
  • Compose, edit, type and distribute various form letters and correspondences; create and maintain necessary files.
  • Request supply orders necessary to perform duties.
  • Perform tasks with a significant degree of independence, requiring knowledge of university resources and Homewood staff and facilities.
  • Assume administrative tasks, special projects, ad hoc reports, research data and other related activities.
  • Develop and maintain information to generate reports, tables, charts, graphs and PowerPoint presentations as needed.
  • Schedule appointments and exam rooms; type routine and specialized correspondence as well as reports; answer telephone, screen callers and relay detailed messages.
  • Willingness and flexibility to take on other duties as assigned.
Special Knowledge, Skills & Abilities
  • Must be able to work efficiently, effectively and professionally in a fast-paced environment interacting with senior level executives and officials.
  • Ability to maintain a professional relationship with a wide range of contacts including faculty.
  • Demonstrated interest in working with college students who have learning, physical, and / or psychological disabilities.
  • Special knowledge and understanding of initiatives, goals, and objectives of Student Disability Services.
  • Will prioritize requests, independently resolve scheduling conflicts, and exam accommodations details.
  • Extensive experience with office technologies including databases, MS Word, Excel, and PowerPoint.
  • Provide data entry and assist in the retrieval and organization of data via AIM platform.
  • Must be comfortable and competent learning new technology.
  • Must be an independent worker who is flexible, motivated and able to handle multiple tasks; detail-oriented, and seeks clarification as needed.
  • Requires a self-starter and frequent interaction with internal and external constituencies.
  • Must uphold ADA compliance in interactions with students, faculty, and staff. Correspond with faculty as needed regarding the facilitation of testing accommodations.
  • Excellent verbal and written communication skills and ability to handle confidential information.
  • Requires consummate skills in diplomacy, discretion, and confidentiality.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Three years administrative/academic related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Strong organizational and interpersonal skills as well as the ability to be detail-oriented and flexible (handle multiple tasks).
  • Experience in disability services in higher education, providing progressively responsible administrative support while working on a wide variety of special projects and assignments.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
