Position Summary:

The University of Dayton Women’s and Gender Studies program and the Women’s Center invites qualified applicants to apply for our Administrative Assistant opening! This is a full time benefit eligible position that offers health, dental and vision insurance, retirement, disability, tuition assistance for you and your dependents, vacation/sick accrual and holiday pay.

To provide administrative support to the Directors in all functions of the Women’s and Gender Studies program and the Women’s Center. Provide personal, email, and telephone reception to a wide constituency. Maintain student files; monitor budgets; manage scheduling and logistics for meetings, speakers, and other events; initiate purchase orders and payments in Runway system, travel/expense forms, PAFs, and other confidential materials. Assist with computer reports, spreadsheets, and databases. Hire, train, and supervise student office workers and manage student payroll, including approval of student timesheets. Ensure offices operate efficiently and smoothly.

Minimum Qualifications:

High School diploma
Three years full-time administrative support experience in a professional office environment
Ability to draft documents independently and proofread documents for errors
Ability to protect and maintain confidentiality of information
Ability to plan and organize work in observance of deadlines
Ability to work effectively as a cooperative member of a professional office
Proficiency with entire Microsoft Office (Word and Excel)
Significant experience managing and reconciling budgets and analyzing financial data
Ability to manage multiple priorities
Ability to work independently with little to no supervision
Ability to work within established procedures and guidelines
Articulated ability to learn and apply new information and systems
Excellent written communication skills
Ability to plan and coordinate events

Preferred Qualifications:

While not everyone may possess all of the preferred qualifications, the ideal candidate will bring many of the following:

Demonstrated ability to engage effectively, respectfully, and professionally with multiple constituents at all levels in an organization, such as faculty members, staff, administration, students, parents, advisory council members, and university guests
Experience recommending and implementing new systems for office workflow
Experience working in a college or university office
Experience using Microsoft Publisher, Adobe InDesign or other desktop publishing software.
Experience working with Banner, Porches, DegreeWorks, CLSS, Cognos, Cascade, Runway, and the Google web-based office suite
Experience supervising others in a professional office environment
Effective interpersonal skills
Excellent oral communication skills
Knowledge of website design, maintenance, and content management
Interest in international issues
Familiarity with University of Dayton academic structures, procedures, and policies
Willingness to engage with Catholic and Marianist educational values
Some relevant college coursework

A federal court on December 7, 2021, issued a ruling that suspends the COVID-19 vaccine requirement that applies to federal contractors nationwide.
