Job Description Summary
The Department of Systems Pharmacology and Translational Therapeutics is seeking a Faculty Affairs and Staffing Coordinator. The primary purpose of the position is to process faculty actions relating to recruitment, appointment, reappointment, promotion, sabbatical, termination and affirmative action/EEO compliance for the Department of Systems Pharmacology and Translational Therapeutics and support the Staffing Manager within the department with Human Resources related tasks.

Job Description

Job Responsibilities
  • Position will independently serve as resource to faculty, staff and administrators regarding policies, procedures and processes relating to faculty actions.
  • Support Staffing Manager as needed
  • Oversee the department weekly and monthly payroll which includes updating costing allocations and approving weekly timesheets.
  • Process terminations in WorkDay, update postdoc appointments in WorkDay, assign WorkDay security access, create job requisitions and hiring proposals in WorkDay.
  • Liaison with PSOM Security concerning Penn Card door access
  • Create, manage and revise faculty Biosketches and Other support pages. Work closely with grants staff to keep these updated, certified and completed.
  • Make travel arrangements for recruits, guests and lecturers as needed. Reviews and submits Concur requests adhering to policies.
  • Overseas HIPAA compliance program within the department
  • Maintain department filing system


Qualifications

Bachelor's Degree with 3-5 years of related experience or equivalent combination of education and experience is required. Excellent verbal and written communication skills. Exceptionally organized, meticulous and detail oriented. Must be able to work independently; multi task; meet critical simultaneous deadlines; prioritize; be customer service oriented; be able to work effectively as a team member; be able to effectively communicate with diverse constituencies: must develop and maintain effective working relationships with colleagues throughout the Department and the School of Medicine; knowledge of PENN and PSOM faculty policies; demonstrated technical expertise (use of web browser and internet for forms, reports, web based applications; all Microsoft office products, etc.)

*Academia experience is preferred

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
