Job Summary

Reporting to the Executive Director for Housing and Dining, the Associate Director for Housing Programs and Services is responsible for oversight of administrative and programmatic tasks related to both University Residence Halls and 34th Street Housing. By utilizing exceptional interpersonal and customer service skills, the Associate Director represents the Office of Housing and Residence Life to constituent groups within and outside the University, including prospective new students and their families.

The position requires excellent research, analysis, and strong decision-making and problem-solving skills. The Associate Director supports a dynamic occupancy management portfolio on the University City and Center City campuses, comprised of over 4,300 resident students in traditional, suite-style, apartment and fraternity and sorority housing as well as special programs and student populations. This position is integral for market and customer responsive capacity and its integral relationship to over $33 million dollars in annual revenue.

The Associate Director must support occupancy strategies with the student’s academic experience through the development and implementation of effective inventory control, capacity options, room and building assignments, marketing strategies, detailed historical data analysis, and reliable forecast models. The Associate Director will regularly monitor occupancy levels, assess market and student housing market trends, benchmark information, provide reports, analyze data, and provide actionable advice and recommendations using analytics and professional expertise.

The Associate Director will participate in strategic planning, local market and competitive studies, and the quarterly and annual budget processes. The Associate Director is also responsible for the facilitation of the 2-Year Residency Program and other assigned duties associated with this institutional initiative.

Essential Functions
  • In collaboration with the Associate Director for Occupancy Management, support aspects of occupancy management, including freshmen, returning student, graduate, and 34th Street housing applications and portal infrastructure, room assignments, and annual/quarterly/semester billing processes on the Main and Center City campuses during academic terms for all University operated and leased residential facilities including residence halls and 34th Street properties.
  • Management of assignments and billing is done in tandem through collaboration with occupancy managers and paraprofessional employees that report directly to this position.
  • Serve as the point of contact to external University offices regarding special programs and student populations tracked within the housing selection process (e.g., VIPs, College Learning Communities, Gateway ESL students, medical placements, etc.).
  • Operate and maintain the housing assignment database (StarRez) and the administrative systems used by Housing and Residence Life.
  • Act on behalf of Housing and Residence Life as Systems Administrator to Academic Information Systems (AIS) and Information Resources and Technology (IRT).
  • Collaborate with both departments on all reporting required from housing administrative systems.
  • Monitor enrollment and student retention trends, pricing of competitors, understand the dynamics of the local market and demand generators and present appropriate reporting, analysis and recommendations.
  • Collaborate for content and conduct housing information sessions to disseminate information and to answer questions on the assignment process and procedures.
  • Represent Housing and Residence Life at events such as Admissions Open Houses, Accepted Student Days and Sneak Peek Day, New Student Orientations and New Student Days.
  • Support all Housing assignments and processes (move-in, move-out, term switch).
  • Oversee training development for system and protocol training for Housing and Residence Life personnel.
  • Work collaboratively with the Housing Operations and Residence Life teams.
  • Communicate with resident students and affected staff regarding any facility-related issues.
  • Make recommendations on, and implement as directed, innovative solutions to continuously improve services offered to resident students with the intent to increase student experiences and retention in Housing and Residence Life and to increase revenue generation.
  • Work closely and collaboratively with the centralized financial and administrative team and other campus departments as needed.
  • Understand and adapt common housing practices for specialized housing. Develop working relationships and explore potential contracts/MOUs for specialized housing partners.
  • Other duties as assigned.
Required Qualifications
  • Minimum of a Bachelor’s Degree or Equivalent .
  • Minimum of 3 years of experience.
  • Excellent research, analysis, and strong decision-making and problem-solving skills.
