Job Description

The Administrative Specialist manages the day-to-day administration of the Drama Department. They provide reception and initial contact for the Department and utilize computer, administrative, clerical, and communication skills in support of the Department Chair (to whom they directly report), Associate Chair, faculty and students.

Qualifications

Bachelor’s degree or equivalent professional experience.

Job Specific Qualifications
  • Excellent computer, interpersonal, communication, and organizational skills including organizing and hosting video conferences and hybrid meetings .
  • Ability to work with a diverse faculty and pre-professional student population.
  • Ability to interact with professional theater artists in a demanding environment.
  • Theater background is preferred.
Responsibilities
  • Responsible for day-to-day administrative support of the Drama Department. Manages administrative activities for academic programs, including but not limited to: local management of student services/student affairs needs; curriculum; enrollment and schedule management; on-line course evaluations; recruiting and admissions. Provides administrative support to the Chair and faculty including: creation and management of Chair’s calendar; management of Department calendar; correspondence and mail; office supplies; minutes of meetings; travel arrangements, etc. Uses independent judgment to determine and respond to the administrative needs of Chair, faculty and students in order to maintain an organized and professional setting for the department.
  • Works directly with VPA Recruiting Office to organize auditions (both on and off campus), including hiring staff for auditions, organizing volunteers for auditions, working with Syracuse Stage to facilitate rooms and theaters for auditions. Aids prospective and admitted students in making their decision by organizing tours, facilitating classroom visits and faculty Q & A sessions. Helps organize all campus days and events here at the Drama/Stage Complex.
  • Works with the Chair, Associate Chair, faculty (especially Program Coordinators and Assistant Program Coordinators) and Business Manager to create class schedule, set up classes, and allocate space.
  • Hires, trains, schedules, and supervises student employees for the office, and submits payroll.
  • Other duties as assigned.
